Core Responsibilities

Primary Functions

  • Develop comprehensive project plans, including scope, goals, deliverables, required resources, budget, and timing, ensuring all aspects are clearly defined and agreed upon by stakeholders.
  • Lead project kick-off meetings to align team members and stakeholders on project objectives, scope, roles, and responsibilities.
  • Meticulously manage project budgets, tracking actuals against forecasts and ensuring projects are delivered within financial constraints.
  • Define and manage a detailed resource plan, securing the availability and allocation of necessary personnel and equipment throughout the project lifecycle.
  • Act as the primary point of contact for the project, facilitating clear and consistent communication among team members, senior management, and external partners.
  • Proactively identify, assess, and mitigate project risks and issues, developing contingency plans to minimize impact on schedule, budget, and quality.
  • Track project milestones and deliverables using appropriate tools, providing regular status reports that highlight progress, risks, and dependencies.
  • Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques and change control procedures.
  • Conduct and document regular project team meetings to review progress, resolve roadblocks, and ensure the team is on track to meet its goals.
  • Ensure that all project documentation is complete, current, and stored appropriately for future reference and auditing purposes.
  • Facilitate stakeholder management by building strong relationships and ensuring their needs and expectations are understood and managed effectively.
  • Oversee the quality assurance process, ensuring that all project deliverables meet the required standards and specifications before final handover.
  • Lead post-project evaluation and lessons learned sessions to identify successful and unsuccessful project elements and drive continuous improvement in our processes.
  • Coordinate the efforts of cross-functional team members and, where applicable, third-party contractors or consultants to deliver projects according to plan.
  • Develop and present detailed reports on project progress, problems, and solutions to steering committees and executive leadership.
  • Utilize industry-standard project management methodologies (e.g., Agile, Scrum, Waterfall) and adapt them to fit the specific needs of the project and team.
  • Resolve conflicts within the project team and among stakeholders with professionalism and a focus on positive outcomes.
  • Ensure adherence to all relevant company policies, procedures, and quality standards throughout the project execution.
  • Mentor and guide junior project coordinators and team members, fostering a culture of excellence and professional growth within the project management practice.
  • Translate business requirements into a detailed technical and operational project backlog and work breakdown structure (WBS).
  • Drive the successful adoption of project outcomes by working closely with change management and business unit leaders.

Secondary Functions

  • Contribute to the continuous improvement of the Project Management Office (PMO) by sharing best practices and suggesting process enhancements.
  • Assist in the development of business cases and feasibility studies for potential new projects and initiatives.
  • Participate in vendor selection and contract negotiation processes for project-related services and software.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree in any field.

Preferred Education:

  • Bachelor's Degree in a relevant field; Project Management Professional (PMP), PRINCE2, or Certified ScrumMaster (CSM) certification is highly desirable.

Experience Requirements
