Core Responsibilities

Primary Functions

  • Supervise, train, mentor, and evaluate the performance of on-site staff, including Property Managers, leasing agents, and maintenance teams, fostering a culture of accountability and excellence.
  • Develop, manage, and oversee annual operating budgets, capital expenditure plans, and financial forecasts for each property within the portfolio.
  • Conduct regular and thorough property inspections to ensure compliance with company standards, safety protocols, curb appeal, and preventative maintenance schedules.
  • Analyze monthly financial statements, including Profit & Loss reports and budget variance analyses, and implement corrective strategies to achieve financial goals and enhance Net Operating Income (NOI).
  • Oversee all aspects of tenant relations, acting as an escalation point for complex issues to ensure high levels of resident satisfaction and retention.
  • Drive leasing and marketing efforts by monitoring occupancy levels, analyzing market trends, and developing strategic initiatives to minimize vacancies and optimize rental rates.
  • Ensure the timely and effective collection of rents and other fees, and manage delinquency and eviction processes in strict accordance with company policy and local/state regulations.
  • Manage and oversee capital improvement projects from bid procurement and vendor selection to project completion, ensuring work is performed on time, within budget, and to a high standard.
  • Negotiate, execute, and manage contracts with third-party vendors and contractors, ensuring favorable terms and high-quality service delivery.
  • Ensure all properties within the portfolio are in full compliance with local, state, and federal regulations, including Fair Housing, ADA, and OSHA safety standards.
  • Prepare and present detailed property performance reports, market analyses, and strategic recommendations to senior management, ownership, and other stakeholders.
  • Direct the make-ready and unit turnover process, ensuring vacant units are prepared for new residents efficiently, cost-effectively, and to company standards.
  • Implement and monitor risk management programs and emergency response procedures to minimize liability and ensure the safety and security of residents and property assets.
  • Review and approve all property-related payables, purchase orders, and expense reports, ensuring accuracy and adherence to budgetary constraints.
  • Lead regular team meetings with on-site staff to communicate goals, share best practices, and address operational challenges.

Secondary Functions

  • Assist the acquisitions team with due diligence activities for potential new properties, including physical inspections, lease audits, and operational analysis.
  • Develop and implement new operational policies and procedures to enhance efficiency, improve service quality, and streamline processes across the portfolio.
  • Continuously monitor local real estate market conditions, competitor pricing, and demographic trends to inform strategic decisions on pricing, concessions, and marketing.
  • Champion the effective use of property management software (e.g., Yardi, AppFolio, RealPage) for operations, reporting, and financial management.
  • Participate in industry associations and professional development opportunities to stay current on best practices and emerging trends in property management.

Required Skills & Competencies

Hard Skills (Technical)

  • Property Management Software: High proficiency in platforms such as Yardi, AppFolio, RealPage, or similar property management ERPs.
  • Financial Acumen: Strong ability to develop budgets, read and interpret financial statements (P&L, General Ledger), and perform variance analysis.
  • Legal Compliance: In-depth knowledge of local, state, and federal Landlord-Tenant laws, Fair Housing regulations, and eviction procedures.
  • Contract & Vendor Management: Skill in negotiating contracts, managing vendor relationships, and overseeing service level agreements.
  • Project Management: Experience overseeing capital projects, unit renovations, and large-scale maintenance initiatives.

Experience Requirements

Typical Experience Range:

  • Professional certifications such as CAM (Certified Apartment Manager), CPM (Certified Property Manager), or ARM (Accredited Residential Manager) are highly desirable.
  • Demonstrated experience in budget creation, financial reporting, and P&L management for multiple assets.
