Core Responsibilities

Primary Functions

  • Manage the entire transaction process from an executed contract to a successful closing, meticulously tracking all deadlines, contingencies, and required documentation for all parties involved.
  • Prepare, review, and manage all real estate documents, including listing agreements, purchase contracts, addendums, and disclosures, ensuring full accuracy and compliance with brokerage and state regulations.
  • Act as the main communication liaison between clients, agents, lenders, and escrow officers, providing proactive, regular status updates and promptly addressing any questions or concerns.
  • Skillfully coordinate and schedule key transaction milestones, such as property inspections, appraisals, final walk-throughs, and closing appointments, confirming all details with the necessary participants.
  • Initiate and maintain comprehensive and compliant client and transaction files, both digital and physical, ensuring all paperwork is organized, complete, and readily accessible for audits.
  • Oversee the complete lifecycle of property listings, including gathering property details, coordinating professional photography, writing compelling property descriptions, and inputting all data accurately into the Multiple Listing Service (MLS).
  • Maintain and manage the team's Customer Relationship Management (CRM) system with a high degree of accuracy, ensuring all client data, communications, and transaction statuses are updated in real-time.
  • Prepare detailed and professional listing presentations, comparative market analyses (CMAs), and buyer tour packets to effectively support agents in their client-facing activities.
  • Process earnest money deposits and commission disbursement authorizations, liaising with accounting departments and title companies to ensure accurate and timely financial transactions.
  • Monitor and manage incoming leads, online inquiries, and showing requests, ensuring prompt assignment to the appropriate agent and diligent tracking of follow-up activities.
  • Facilitate the formal opening of escrow and title by submitting all necessary contract documents and providing the title company with complete and accurate information from the outset.
  • Create, implement, and refine standardized checklists and workflow templates for both listing and closing processes to drive team efficiency, consistency, and scalability.
  • Order, obtain, and carefully review preliminary title reports, HOA documents, and natural hazard disclosures, proactively identifying and highlighting any potential issues for the agent's review.
  • Coordinate with a network of vendors, including stagers, photographers, inspectors, and repair contractors, to prepare properties for the market or to satisfy contract requirements.
  • Generate and present regular reports on key business metrics, including transaction volume, pipeline status, pending sales, and lead conversion rates to inform team strategy.

Secondary Functions

  • Assist in the creation and distribution of marketing materials, such as property flyers, social media content, email newsletters, and direct mail campaigns.
