Core Responsibilities

Primary Functions

  • Oversee all daily office operations, systems, and procedures to guarantee a professional, organized, and highly efficient work environment.
  • Manage, mentor, and supervise all administrative staff, including receptionists and transaction coordinators, handling hiring, training, and performance reviews.
  • Direct the complete agent onboarding and offboarding process, ensuring a seamless transition including system setup, paperwork, and introductory training.
  • Act as the primary gatekeeper for brokerage compliance, meticulously reviewing all contracts and transaction files to ensure adherence to state regulations and company policies.
  • Manage the office's financial health, including accounts payable/receivable, agent billing, commission processing, and budget preparation and analysis.
  • Provide high-level executive support to the Broker/Owner, including managing schedules, preparing for meetings, and handling confidential correspondence.
  • Develop, implement, and refine office policies, systems, and procedures to enhance operational workflow and boost agent productivity.
  • Function as the main point of contact for all vendors, negotiating contracts and managing relationships for IT, supplies, and building maintenance services.
  • Plan, coordinate, and execute all office events, including weekly sales meetings, training workshops, client appreciation events, and team-building activities.
  • Champion the adoption and effective use of office technology, including CRM, transaction management software, and MLS, providing ongoing training and support.
  • Maintain a pristine and professional office appearance, managing all facility-related matters to ensure a welcoming atmosphere for agents and clients.
  • Generate and analyze key performance reports for leadership, covering agent productivity, transaction volume, financials, and other critical business metrics.
  • Serve as a key resource and problem-solver for agents, providing guidance on contracts, technology issues, and office procedures.

Secondary Functions

  • Support the Broker/Owner in recruiting new agents by assisting with scheduling interviews, preparing recruitment materials, and communicating the brokerage's value proposition.
  • Oversee the brokerage’s marketing efforts by coordinating with marketing staff or vendors on social media content, email newsletters, and promotional materials.
  • Manage and maintain an accurate inventory of office supplies, signage, lockboxes, and marketing collateral, handling reordering to prevent disruptions.
  • Handle escalated client or agent concerns with diplomacy and professionalism, working to find swift and effective resolutions.
  • Coordinate and track license renewals and continuing education requirements for all licensed agents and the brokerage itself.
  • Facilitate communication between agents and leadership, fostering a positive, supportive, and collaborative office culture.
  • Assist in processing earnest money deposits and commission disbursements with a high degree of accuracy and timeliness.
  • Support ad-hoc data requests and exploratory data analysis to identify trends and opportunities for business growth.

Required Skills & Competencies

Hard Skills (Technical)

  • Real Estate Software Proficiency: Advanced knowledge of transaction management software (SkySlope, Dotloop, Brokermint) and Multiple Listing Service (MLS) systems.
  • Financial Management: Strong experience with accounting software (QuickBooks preferred), budget management, and processing accounts payable/receivable.
  • CRM Expertise: Competency in using and managing real estate CRM platforms (e.g., Follow Up Boss, Top Producer, kvCORE) to support agent lead generation and client management.
  • Tech Savviness: High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace, with the ability to quickly learn and teach new software platforms.
  • Regulatory Knowledge: In-depth understanding of state-specific real estate contracts, compliance laws, and transaction timelines and procedures.
  • Reporting & Analytics: Ability to generate, interpret, and present reports on financial performance, sales volume, and other key brokerage metrics.

Educational Background

Minimum Education:
