Core Responsibilities

Primary Functions

  • Meticulously interpret, set up, and maintain complex rebate agreements, contracts, and promotional programs within the financial system to ensure precise tracking and calculation.
  • Diligently validate and process a high volume of rebate claims submitted by customers, distributors, and partners, cross-referencing against sales data and contractual terms.
  • Accurately calculate rebate accruals on a monthly and quarterly basis, ensuring the general ledger reflects true financial obligations and liabilities.
  • Conduct thorough research and analysis to identify, investigate, and resolve any payment discrepancies, chargebacks, or disputes in a timely and professional manner.
  • Prepare and distribute detailed rebate performance reports and financial summaries for internal stakeholders, including sales, marketing, and senior management.
  • Serve as the primary point of contact for all internal and external inquiries related to rebate program status, calculations, and payment details.
  • Perform regular reconciliations of rebate accounts, comparing system data with actual payments and accruals to ensure financial integrity.
  • Collaborate closely with the Sales and Account Management teams to provide clarity on program structures and ensure new agreements are operationally feasible.
  • Proactively monitor rebate program effectiveness, analyzing trends in claims, payouts, and customer participation to identify opportunities for improvement and optimization.
  • Manage the entire lifecycle of rebate payments, from generating payment requests and securing approvals to coordinating with Accounts Payable for disbursement.
  • Assist in internal and external audit processes by providing comprehensive documentation, detailed explanations, and supporting calculations for all rebate activities.
  • Develop and maintain a comprehensive understanding of sales data, product hierarchies, and customer structures to ensure rebates are applied correctly.
  • Generate and analyze ad-hoc reports to support business decisions, pricing strategies, and profitability analysis related to incentive programs.
  • Continuously seek opportunities to streamline and automate rebate processing workflows, reducing manual effort and minimizing the risk of errors.
  • Maintain a centralized repository of all rebate contracts and related documentation, ensuring version control and easy access for authorized personnel.
  • Track and report on key performance indicators (KPIs) for rebate programs, such as claim processing time, dispute resolution rates, and budget-to-actual variance.
  • Engage with IT and system administrators to troubleshoot system issues, test new functionalities, and implement enhancements to the rebate management software.
  • Ensure strict adherence to company policies, financial regulations, and SOX controls throughout all rebate management activities.
  • Forecast future rebate liabilities based on sales projections and historical data to assist the finance team with cash flow planning and budgeting.
  • Train and support junior team members or cross-functional colleagues on rebate processes, systems, and best practices.
  • Communicate program changes, updates, and deadlines effectively to all relevant internal and external partners to ensure smooth execution.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Microsoft Excel Proficiency: Mastery of complex functions (VLOOKUP, HLOOKUP, INDEX/MATCH), pivot tables, data modeling, and handling large datasets is essential.
  • ERP System Experience: Hands-on experience with major ERP systems such as SAP, Oracle, or NetSuite, particularly within the finance and sales modules.
  • Data Analysis & Visualization: Strong ability to analyze large volumes of data and present findings clearly using tools like Tableau, Power BI, or even advanced Excel charting.
  • SQL (Structured Query Language): The ability to write basic to intermediate SQL queries for data extraction and validation from relational databases is highly desirable.
  • Financial Acumen: Solid understanding of core accounting principles, including accruals, liabilities, reconciliations, and general ledger impacts.
