Core Responsibilities

Primary Functions

  • Diligently unload incoming shipments from delivery trucks, trailers, and containers using manual methods or material handling equipment such as forklifts and electric pallet jacks.
  • Conduct meticulous verification of all incoming shipments by cross-referencing items received against purchase orders, packing slips, invoices, and bills of lading.
  • Perform thorough inspections of all delivered goods for any visible damage, defects, quantity discrepancies, or quality concerns, and promptly document and report issues to supervisors and the procurement team.
  • Accurately count, weigh, or measure items within each shipment to confirm that the quantities received precisely match the shipping documentation.
  • Utilize handheld RF scanners, barcode readers, and other warehouse technologies to efficiently and accurately record the receipt of materials and products into the Warehouse Management System (WMS) or ERP.
  • Systematically sort, stage, and prepare received goods for put-away, organizing them in designated receiving lanes to ensure an efficient transition to storage locations.
  • Generate and affix appropriate identification labels, tracking tags, or lot number barcodes to all incoming inventory to facilitate precise tracking and rotation.
  • Maintain comprehensive and accurate digital and physical records of all received goods, including key details like vendor information, lot numbers, expiration dates, and any noted discrepancies.
  • Collaborate closely with the inventory control and purchasing departments to swiftly resolve any shipment issues, such as overages, shortages, incorrect items, or compliance failures.
  • Process and manage returns to vendors (RTVs) by preparing all necessary documentation, properly packaging items for shipment, and coordinating with the shipping department.
  • Uphold a clean, organized, and safe receiving area at all times, strictly adhering to company safety protocols, 5S principles, and OSHA regulations.
  • Safely and proficiently operate various types of material handling equipment (MHE), including counterbalance forklifts, reach trucks, pallet jacks, and hand trucks, maintaining all required certifications.
  • Communicate effectively and professionally with truck drivers and delivery personnel to coordinate the unloading schedule, manage dock traffic, and ensure all necessary paperwork is completed and signed.
  • Actively participate in cycle counts and periodic physical inventory audits to help maintain the highest level of inventory accuracy within the facility.
  • Prepare and distribute daily, weekly, and monthly receiving reports to management and other relevant departments, highlighting key metrics and any outstanding issues.

Secondary Functions

  • Provide support to the shipping department during peak operational periods or as needed, assisting with tasks like order picking, packing, and loading outbound trucks.
  • Participate in continuous improvement projects and Kaizen events aimed at enhancing the efficiency, accuracy, and safety of receiving processes.
  • Assist in training new team members on departmental standard operating procedures (SOPs), safety guidelines, and system usage.
  • Coordinate with the Quality Assurance department to quarantine specific incoming materials that require detailed quality inspection before being released into general inventory.
  • Manage the receipt, sorting, and internal distribution of non-inventory items, such as MRO supplies, office materials, and marketing assets.
  • Perform various clerical and data entry tasks related to filing receiving documents, updating logs, and maintaining organized records for audit purposes.
  • Monitor and manage the inventory of receiving supplies, such as labels, shrink wrap, and packing materials, initiating reorder requests as necessary.

Required Skills & Competencies

Hard Skills (Technical)

  • Warehouse Management Systems (WMS): Proficiency in using WMS software (e.g., SAP EWM, Oracle WMS, NetSuite) to process inbound receipts, look up purchase orders, and track inventory movements.
  • Material Handling Equipment (MHE) Operation: Certified and/or experienced in the safe operation of forklifts (sit-down, stand-up), electric pallet jacks, and other warehouse machinery.
  • RF Scanning Technology: Skilled in using handheld RF scanners and mobile computing devices for real-time, accurate data capture and inventory transaction processing.
  • Data Entry & Computer Literacy: Strong and accurate typing skills with proficiency in Microsoft Office Suite (particularly Excel and Outlook) for reporting, record-keeping, and communication.
  • Inventory Management Principles: A solid understanding of basic inventory concepts like First-In, First-Out (FIFO), lot control, and the importance of cycle counting.
  • Shipping & Receiving Documentation: The ability to read, interpret, and process various logistics documents, including Bills of Lading (BOL), packing slips, commercial invoices, and purchase orders.

  • Meticulous Attention to Detail: An exceptional ability to spot small discrepancies, ensure absolute accuracy in counts and data entry, and identify potential damage to shipments.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

Preferred Education:

  • Associate's Degree or a professional certification in a relevant field.

Experience Requirements

Typical Experience Range:

  • 1-3 years of direct experience in a warehouse, distribution center, or manufacturing environment, preferably within a shipping or receiving function.

Preferred:

  • Prior experience specifically as a Receiving Clerk, with demonstrated proficiency in using a major WMS platform and operating material handling equipment.
