Core Responsibilities
Primary Functions
- Act as the central point of contact for interview scheduling, expertly managing complex calendars for candidates, recruiters, and hiring managers across various departments and time zones.
- Manage the end-to-end logistics of the interview process, including sending calendar invites, booking conference rooms, and coordinating video conferencing links.
- Ensure a world-class candidate experience by providing timely, clear, and professional communication regarding interview confirmations, scheduling changes, and next steps.
- Post, update, and manage job requisitions across multiple platforms, including the company careers page, LinkedIn, and other external job boards.
- Maintain the integrity and accuracy of the Applicant Tracking System (ATS), ensuring candidate records are up-to-date, and dispositions are logged correctly.
- Facilitate the candidate feedback process by diligently collecting and organizing interview notes and evaluations from the hiring team within the ATS.
- Coordinate all necessary travel and accommodation arrangements for candidates who are required to travel for in-person interviews.
- Prepare and generate offer letters, employment agreements, and other new hire documentation with a high degree of accuracy and attention to detail.
- Initiate and monitor pre-employment screening processes, such as background checks and reference checks, ensuring compliance and timely completion.
- Serve as a key partner in the onboarding process, liaising with HR and IT teams to ensure a smooth Day 1 experience for new hires.
- Triage and respond to general inquiries from candidates and internal stakeholders regarding open positions and application statuses.
- Meticulously track recruitment metrics and candidate data, assisting the team in generating weekly or monthly reports on hiring activity.
- Provide comprehensive administrative support to the Talent Acquisition team, including expense reporting and invoice processing for recruitment-related costs.
- Champion the candidate experience at every touchpoint, identifying and suggesting opportunities for process improvements.
Secondary Functions
- Support the coordination and execution of recruitment events, such as career fairs, university recruiting drives, and virtual hiring events.
- Assist in the initial screening of resumes and applications against the basic qualifications outlined in the job descriptions.
- Help maintain a library of job description templates, ensuring consistency in language, formatting, and compliance standards.
- Manage submissions and communication for the internal employee referral program, ensuring timely follow-up and tracking.
- Contribute to employer branding efforts by assisting with content for social media or the company's career page.
