Core Responsibilities

Primary Functions

  • Act as the first point of contact for all incoming rental inquiries via phone, email, and in-person visits, providing customers with timely product information, availability, and pricing.
  • Meticulously prepare and process rental quotations, agreements, and contracts, ensuring all terms, conditions, and customer information are accurate and complete.
  • Skillfully coordinate the logistics of equipment and asset rentals, including scheduling deliveries, pickups, and transfers between locations to meet customer deadlines.
  • Maintain constant and clear communication with drivers, technicians, and yard personnel to ensure on-time performance and provide real-time updates to customers.
  • Manage the entire rental order lifecycle within the business system (ERP/CRM), from creation and fulfillment to the final closing and invoicing of the rental contract.
  • Proactively address and resolve customer issues, complaints, or discrepancies regarding billing, equipment performance, or scheduling with professionalism and a sense of urgency.
  • Diligently monitor equipment availability and fleet inventory levels, working closely with the service department to understand maintenance schedules and asset readiness.
  • Secure and process customer payments, including deposits and recurring rental fees, and assist with collections on past-due rental accounts.
  • Thoroughly vet new customers by processing credit applications, verifying insurance certificates, and setting up new accounts in the company database.
  • Ensure all rental transactions and associated activities adhere to company policies, safety standards, and relevant transportation regulations.
  • Identify opportunities to upsell or cross-sell complementary equipment, services, or damage waivers to enhance the customer's rental experience and increase revenue.
  • Handle and document any reports of equipment damage, creating service calls for repairs and initiating the billing process for customer-liable damages.
  • Provide customers with basic operational guidance and safety information for rented equipment, ensuring they have a clear understanding before use.
  • Negotiate rental rates and terms with customers within pre-approved guidelines to secure business while maintaining profitability.
  • Track the status of all active rental assets, monitor for overdue returns, and initiate communication with customers to coordinate extensions or retrieve equipment.

Secondary Functions

  • Generate and analyze standard operational reports on key metrics such as equipment utilization, rental revenue, and customer activity to support management decisions.
  • Assist the outside sales team by providing administrative support, preparing quotes for their clients, and ensuring a smooth hand-off from sales to operations.
  • Participate in regular physical inventory counts and cycle counts of rental equipment and accessories to ensure system accuracy.
  • Maintain clean, organized, and accurate filing systems for all rental contracts, insurance certificates, and related customer correspondence.
  • Collaborate with the maintenance department to schedule preventative maintenance and repairs, minimizing equipment downtime and maximizing fleet availability.

Required Skills & Competencies

  • Rental Management Software: Proficiency in specialized rental software (e.g., Point of Rental, InTempo, Wynne Systems, Rouse) and/or enterprise ERP/CRM systems (e.g., SAP, NetSuite).

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:
