Primary Functions

  • Skillfully prepare, draft, and present lease agreements and all related addenda, ensuring all documents are accurate, complete, and fully understood by the new resident before execution.
  • Facilitate a smooth and welcoming move-in process, including conducting detailed move-in inspections, coordinating key handoffs, and ensuring the unit is prepared to the highest standard.
  • Serve as the primary point of contact for resident concerns and inquiries, demonstrating empathy and a problem-solving attitude to foster positive tenant relations and ensure high levels of resident satisfaction.
  • Coordinate and manage the move-out process, including scheduling and performing final inspections, assessing any potential damages, and processing security deposit dispositions in a timely manner.
  • Maintain meticulous and up-to-date resident files, leasing records, and property information within the property management software system (e.g., Yardi, AppFolio).
  • Consistently follow up with prospective residents who have toured the property to answer additional questions and guide them toward a leasing decision.
  • Conduct regular market surveys and competitor analysis to stay informed about local rental rates, concessions, and market trends, providing insights to management for strategic pricing.
  • Assist in the development and execution of resident retention programs and community events designed to enhance the living experience and encourage lease renewals.
  • Ensure all marketing materials, both online and in print, are professional, accurate, and reflect the property's brand standards.
  • Diligently enforce community policies and lease terms to ensure a safe, clean, and harmonious living environment for all residents.
  • Collaborate with the maintenance team to schedule and communicate service requests, ensuring resident issues are resolved efficiently and effectively.
  • Inspect vacant units to ensure they are "market-ready," coordinating with vendors and maintenance staff for necessary repairs, cleaning, or upgrades.
  • Prepare and maintain regular leasing traffic reports, occupancy forecasts, and renewal status updates for property management.
  • Negotiate lease renewals with current residents, highlighting the value of remaining in the community and effectively communicating any changes in terms or rental rates.
  • Uphold an in-depth knowledge of all aspects of the property, including floor plans, pricing, amenities, and local neighborhood highlights, to serve as a true community expert.
  • Collect and process rental payments, security deposits, and other fees, maintaining accurate resident ledgers and assisting with delinquency management when necessary.
  • Build and maintain positive relationships with local real estate agents, corporate relocation services, and community partners to generate referral traffic.

Required Skills & Competencies

Hard Skills (Technical)

  • Expertise with the Microsoft Office Suite (Word, Excel, Outlook) for communication and reporting.
  • Comprehensive understanding and application of federal, state, and local Fair Housing laws.
  • Experience drafting, reviewing, and executing legally binding lease agreements.
  • Familiarity with managing and updating listings on ILS platforms (e.g., Apartments.com, Zillow, Zumper).
