Core Responsibilities

Primary Functions

  • Manage the loan lifecycle from lead intake through closing for a high-volume residential mortgage pipeline, ensuring each file meets federal regulations, investor overlays, and internal quality standards.
  • Originate mortgage loans by assessing borrower needs, collecting application data, performing pre-qualification and pre-approval analyses, and presenting tailored product and rate options (conventional, FHA, VA, USDA, Jumbo).
  • Prepare and deliver accurate Loan Estimates (LE) and Closing Disclosures (CD), ensuring TRID and RESPA compliance and timely disclosures to borrowers and settlement agents.
  • Conduct comprehensive credit analysis, including tri-merge credit reports, debt-to-income calculations, and manual credit determination when necessary; document compensating factors and underwriting rationale.
  • Use Automated Underwriting Systems (AUS) such as Desktop Underwriter (DU) and Loan Product Advisor (LPA) to generate findings, interpret AUS conditions, and structure files to satisfy investor and agency requirements.
  • Enter, update, and manage loan data in LOS platforms (e.g., Encompass, Calyx Point, Ellie Mae) and ensure file completeness, accurate disclosures, and audit-ready documentation.
  • Coordinate with processors, underwriters, title companies, and attorneys to resolve underwriting conditions, obtain clear-to-close, and schedule closings within committed timelines.
  • Execute rate locks, re-pricing, and lock extensions; work with pricing engines and secondary marketing to ensure best execution and to minimize fallout and lock-related losses.
  • Collect, verify, and reconcile borrower documentation including income, assets, employment, tax returns, bank statements, and gift letters; respond to underwriting questions and curtail documentation exceptions.
  • Analyze and advise on loan structure and product eligibility in complex scenarios (self-employed borrowers, high debt ratios, recent credit events, multiple properties) while maintaining strong borrower advocacy.
  • Maintain strict adherence to fair lending, ECOA, HMDA, BSA/AML and anti-fraud procedures; escalate suspicious activity and support internal and external audits.
  • Build and maintain referral relationships with real estate agents, builders, financial advisors, and account executives to source new business and nurture repeat referrals.
  • Provide consultative borrower-facing counseling throughout the mortgage process, address sensitive issues (short sales, bankruptcies, foreclosures), and set clear expectations to reduce fall-out and increase customer satisfaction.
  • Prepare loan packages for closing and post-closing review, validate closing documents, wire instructions, and funds disbursement; coordinate with escrow/title for accurate settlement.
  • Monitor pipeline analytics and conversion metrics (pull-through rates, turn times, lock-to-close metrics), and implement process improvements to accelerate cycle times and reduce costs.
  • Educate borrowers on mortgage products, interest rate scenarios, amortization, PMI/MI, escrow accounts, and closing costs, enabling informed financing decisions.
  • Maintain up-to-date knowledge of investor guideline changes, agency overlays, and market trends; proactively adjust product recommendations and pricing strategies.
  • Resolve complex exceptions and underwriting conditions by engaging underwriters, managers, and secondary market teams; prepare exception memos when required.
  • Conduct post-closing quality checks and seller/servicer requirements, manage documentation delivery and loan sale pipelines to investors and aggregators.
  • Lead intake and triage for inbound loan inquiries, qualify leads quickly using standard qualification criteria, and convert qualified prospects into applications.
  • Manage customer communications across channels (phone, email, secure portals), document all interactions, and ensure transparency with borrowers and partners on the status of the loan.
  • Maintain and use CRM systems (e.g., Salesforce) to manage lead follow-up, appointment scheduling, referral tracking, and marketing campaigns to grow the pipeline.

Secondary Functions

  • Support ad-hoc reporting and pipeline analytics to inform sales strategies and operational capacity planning.
  • Help refine standard operating procedures and underwriting checklists to reduce rework and loan fallout.
  • Coordinate occasional training sessions for junior loan officers, processors, and referral partners on product updates and compliance best practices.
  • Participate in audits and quality control remediation by providing documentation packages and file explanations.
  • Assist with implementation and testing of LOS updates, integrations, and automated workflows to improve loan processing efficiency.
  • Serve as point-of-contact for investor relations and pipeline hedging coordination when interacting with secondary marketing.
  • Provide backup support for closing coordination, funding reviews, and post-close shipping during peak periods.
  • Contribute to cross-functional initiatives that optimize borrower experience, such as building informational content, FAQs, and process maps.
  • Participate in community outreach and lead-generation events (first-time homebuyer seminars, realtor events, and local business groups).
  • Monitor and report on compliance training completion for the loan team and flag knowledge gaps for management.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with Loan Origination Systems (LOS): Encompass, Calyx Point, Ellie Mae, or similar platforms.
