Core Responsibilities
Primary Functions
- Receive and unload incoming shipments of returned products from customers, carriers, and retail locations, ensuring proper documentation is present.
- Physically inspect returned merchandise to determine its condition, meticulously assessing for damage, wear, or defects according to established company quality standards.
- Accurately and efficiently process Return Merchandise Authorizations (RMAs) by verifying customer and product information against system records in the WMS or ERP.
- Sort and segregate returned items based on their condition and designated disposition category, such as restock-to-inventory, return-to-vendor (RTV), refurbish, liquidate, or recycle.
- Utilize a Warehouse Management System (WMS) and handheld RF scanners to accurately record the receipt, condition, and updated location of all returned goods.
- Prepare and package items designated for restocking into sellable inventory, ensuring they meet strict quality and presentation standards for resale.
- Process customer credits, refunds, or exchanges within the enterprise resource planning (ERP) system in a timely and accurate manner to ensure a positive customer experience.
- Communicate effectively and professionally with customer service teams to resolve discrepancies, answer inquiries, or troubleshoot issues related to specific customer returns.
- Maintain a clean, organized, and safe work environment within the returns processing area, adhering to all company safety protocols and 5S standards.
- Consolidate and prepare pallets or shipments of products for transfer to an outlet store, a third-party liquidation partner, or back to the original vendor.
- Perform high-volume data entry tasks with exceptional accuracy to update inventory levels and maintain precise digital records of all return transactions.
- Identify and report observable trends in product returns, such as frequent defects or common damages, to Quality Assurance and Merchandising teams for corrective action.
- Manage the final disposition of non-conforming, end-of-life, or severely damaged products, following established procedures for ethical disposal or recycling.
- Conduct regular cycle counts and participate in full physical inventory audits within the returns department to ensure a high level of inventory accuracy.
- Repackage and re-label products to make them suitable for resale, ensuring all packaging is pristine and all necessary barcodes and identification labels are correct.
- Investigate and resolve inventory discrepancies that arise during the returns process, tracing products and transactions to find the root cause.
- Generate and review daily, weekly, and monthly operational reports on return volumes, processing times, disposition outcomes, and other key performance indicators.
- Collaborate closely with the inbound and outbound warehouse departments to coordinate the smooth movement of returned goods within the facility.
- Ensure all processed and dispositioned returns are put away in their designated storage or forward-pick locations promptly to maintain workflow efficiency.
- Adhere strictly to all company policies and standard operating procedures (SOPs) for reverse logistics, inventory management, and loss prevention.
