Core Responsibilities
Primary Functions
- Meticulously inspect and process all incoming customer and retail returns, accurately verifying product identity, quantity, and condition against the Return Merchandise Authorization (RMA).
- Utilize Warehouse Management Systems (WMS) and enterprise resource planning (ERP) software to log return data, update inventory status, and trigger customer credits or exchanges.
- Make critical disposition decisions for returned items, categorizing them for restock, return-to-vendor (RTV), refurbishment, liquidation, or disposal based on established company guidelines.
- Physically and systematically sort a high volume of diverse products into designated areas, ensuring the integrity and organization of the returns processing department.
- Carefully repackage and re-label saleable products to meet quality standards for re-entry into sellable inventory, preserving product value.
- Initiate and process credit memos for customers upon successful verification of returned goods, collaborating closely with the customer service department to ensure timely resolution.
- Maintain precise and real-time inventory records for all returned, damaged, and quarantine stock to prevent shrinkage and ensure system accuracy.
- Safely operate material handling equipment (MHE) such as pallet jacks, hand trucks, and potentially forklifts (if certified) to move product throughout the returns area.
- Strictly adhere to all workplace health and safety (WHS) regulations and standard operating procedures (SOPs) to maintain a secure and hazard-free environment.
- Diligently document any discrepancies, shipping damages, or product defects found during the inspection process, escalating issues to supervisors for quality control analysis.
- Consistently meet or exceed established key performance indicators (KPIs) and productivity targets for the number of units processed per hour/day.
- Prepare, consolidate, and palletize items designated for shipment back to original vendors (RTVs) or to liquidation partners, ensuring proper documentation is attached.
- Research and resolve complex return scenarios, such as returns without original documentation or those with conflicting information, by investigating order histories.
- Conduct routine quality control checks on restocked items to ensure they meet the criteria for being sold as new or open-box.
- Manage the processing of product warranty claims, diagnosing reported issues and routing the item through the appropriate warranty or repair channel.
- Segregate and handle hazardous materials or products with special handling requirements (e.g., batteries, liquids) according to specific safety protocols.
Secondary Functions
- Actively participate in physical inventory and cycle counting programs, specifically within the returns and damaged goods sections of the warehouse.
- Uphold high standards of cleanliness and organization within the designated returns workstation and surrounding areas to promote efficiency and safety.
- Provide constructive feedback to management and merchandising teams regarding recurring product defects, packaging issues, or common reasons for returns.
- Assist other warehouse departments, such as picking, packing, or receiving, during periods of peak volume or staff shortages to support overall operational goals.
- Generate and review basic operational reports on return volumes, processing times, and disposition categories to help identify trends and areas for improvement.
- Contribute to continuous improvement projects by suggesting and helping to implement more efficient returns processing workflows and procedures.
Required Skills & Competencies
