🎯 Role Definition

As a Sales Estimator, you will take ownership of the estimating process by reviewing project specifications, preparing detailed quotes, interpreting blueprints, coordinating with suppliers and internal stakeholders, and helping convert proposals into revenue. You will serve as a commercial partner to sales, engineering and operations—ensuring that every estimate meets margin, timeline and quality expectations, while also contributing to supplier sourcing, risk identification and market‑intelligence efforts.

Core Responsibilities

Primary Functions

  1. Review and analyse project plans, blueprints, specifications and scope documents to develop accurate and competitive cost estimates.
  2. Liaise with internal sales teams, project managers and engineers to define scope, assumptions, materials, labour and equipment costs required to meet customer requirements.
  3. Source and solicit suppliers and subcontractors for quotes; evaluate vendor proposals, materials pricing, production and logistics constraints.
  4. Prepare comprehensive bid packages, quotation documents and proposals inclusive of cost breakdowns, margin analysis and value‑engineering opportunities.
  5. Enter and update estimate data into ERP/CRM systems, tracking bid status, quote revisions, assumptions and approvals.
  6. Provide timely return of estimates and quotations to clients and sales representatives, ensuring responsiveness and follow‑up.
  7. Monitor and evaluate actual project cost performance versus estimated data to identify variances, root causes and continuous improvement opportunities.
  8. Collaborate with sales leadership to develop pricing strategies, discount structures and margin targets aligned with business objectives.
  9. Maintain up‑to‑date knowledge of market conditions, competitor pricing, material trends and supplier capabilities to ensure estimates remain competitive.
  10. Conduct site visits and surveys as required to evaluate existing conditions, access constraints and real‑world logistics to support quoting accuracy.
  11. Identify and highlight risks, alternatives and value‑engineering opportunities within estimates to improve cost‑effectiveness and client value.
  12. Ensure all estimate documentation, assumptions, calculations and revisions are clearly recorded and archived for audit and reference.
  13. Participate in pre‑bid meetings and review sessions with clients and internal stakeholders to clarify scope, assumptions and deliverables.
  14. Support post‑sales hand‑off to project implementation teams by providing detailed estimate clarifications and scope documentation.
  15. Assist in high‑volume estimating initiatives when business growth or expansion demands rapid quote turnaround times.
  16. Collaborate with procurement/logistics to confirm material availability, lead times and freight costs as part of accurate cost modelling.
  17. Develop and deliver reports on estimating performance metrics, bid hit rates, margin trends and pipeline health to management.
  18. Provide training or guidance to junior estimating team members and support process standardisation across the estimating function.
  19. Uphold compliance with company policies, standards, contractual terms and regulatory requirements in all estimating and bid submission activities.
  20. Continuously improve estimating tools, spreadsheets, templates and methodologies to enhance accuracy, efficiency and scalability.

Secondary Functions

  • Support ad‑hoc estimating and cost‑analysis data requests for business development or management decision‑making.
  • Contribute to strategic estimating and sales growth planning through input on workload forecasting, capacity planning and cost trend modelling.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced proficiency in reading and interpreting engineering drawings, architectural plans, schedules and specifications.
  • Strong cost‑estimating and take‑off skills including labour, material and equipment cost modelling.
  • Experience with ERP/CRM systems, estimating software or bid management tools, and advanced MS Excel modelling.
  • Excellent numerical, analytical and business‑case skills: be able to quantify opportunity, margin and risk.
  • Skilled in sourcing and supplier/subcontractor management: obtaining quotes, comparing costs and negotiating terms.
  • Familiarity with procurement, production and logistics cost components and how they feed into estimates.
  • Ability to prepare detailed proposals, bid packages and contract documentation.
  • Competency in project management basics: scheduling, risk identification and contingency planning.
  • Knowledge of market dynamics, competitor pricing analysis and value engineering methodologies.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent; technical or business coursework advantageous.
