Core Responsibilities
Primary Functions
- Coordinate and monitor the complete lifecycle of domestic and international shipments, from order placement to final delivery, ensuring timely and accurate execution.
- Prepare, verify, and manage all necessary shipping documentation, including bills of lading (BOL), commercial invoices, packing lists, and certificates of origin.
- Act as the primary point of contact for freight forwarders, carriers, and customs brokers to schedule pick-ups, track transit, and resolve any in-transit issues.
- Utilize Transportation Management Systems (TMS) and Warehouse Management Systems (WMS) to process orders, generate shipping labels, and maintain accurate shipment records.
- Communicate proactively with internal teams, such as sales, customer service, and warehouse staff, to provide status updates and coordinate outbound logistics.
- Ensure all shipments comply with company policies, customer requirements, and applicable local, national, and international trade regulations (e.g., DOT, IATA, IMDG).
- Obtain and compare freight quotes from multiple carriers to select the most cost-effective and reliable shipping methods while meeting delivery deadlines.
- Track, trace, and expedite shipments as necessary, providing real-time updates to stakeholders and addressing potential delays before they impact customers.
- Investigate and resolve shipping discrepancies, such as lost or damaged goods, by filing claims with carriers and managing the resolution process from start to finish.
- Maintain a meticulous and organized filing system for all shipping-related documents, both digital and physical, for audit and record-keeping purposes.
- Process and manage hazardous materials shipments, ensuring all paperwork, labeling, and handling procedures adhere to strict regulatory standards.
- Coordinate with the warehouse team to ensure orders are picked, packed, and staged correctly and on schedule for carrier pickup.
- Audit and approve freight invoices, meticulously verifying charges against quoted rates and services rendered, and resolving any billing discrepancies with carriers.
- Prepare and submit customs documentation for international shipments, working closely with customs brokers to facilitate smooth and timely clearance.
- Generate and analyze regular shipping reports on key performance indicators (KPIs) such as on-time delivery, freight cost per unit, and carrier performance.
Secondary Functions
- Assist in the continuous improvement of shipping processes and procedures to enhance efficiency, reduce costs, and improve overall service levels.
- Support inventory management by providing accurate data on outbound stock movements and assisting in physical inventory counts as needed.

- Familiarity with national and international shipping regulations (DOT, IATA, IMDG, Customs).
- Experience with Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle, NetSuite) for order processing.
