Core Responsibilities
Primary Functions
- Directly supervise, lead, and mentor a team of shipping clerks, material handlers, and equipment operators, overseeing daily work assignments, training, and performance management.
- Plan and coordinate all daily shipping activities, including order picking, packing, staging, and loading, to ensure on-time fulfillment of customer orders and transfer shipments.
- Ensure 100% order accuracy by implementing and enforcing rigorous quality control checks throughout the picking, packing, and verification processes.
- Manage relationships with freight carriers (LTL, FTL, parcel), scheduling pickups, and negotiating to ensure cost-effective and timely delivery of goods.
- Maintain a safe and compliant work environment by championing all safety protocols, conducting regular safety audits, and ensuring team members are properly trained on equipment and procedures.
- Utilize the Warehouse Management System (WMS) and Enterprise Resource Planning (ERP) system to manage order flow, track shipments, and maintain accurate inventory records for outbound goods.
- Troubleshoot and resolve any shipping issues, such as delays, damages, or discrepancies, by working collaboratively with customer service, sales, and carrier representatives.
- Prepare and verify all shipping documentation, including bills of lading (BOL), packing slips, commercial invoices, and any required hazardous materials (Hazmat) paperwork.
- Drive operational efficiency by continuously analyzing shipping processes, identifying bottlenecks, and implementing process improvements to reduce costs and improve service levels.
- Monitor and manage departmental key performance indicators (KPIs), such as on-time shipping, order accuracy, cost per shipment, and labor productivity, reporting findings to management.
- Conduct daily team meetings to communicate goals, provide feedback, and address any operational challenges, fostering a culture of open communication and teamwork.
- Oversee the proper maintenance and utilization of all shipping equipment, including forklifts, pallet jacks, and packing machinery, scheduling repairs as needed.
- Manage department labor scheduling, including overtime allocation and time-off requests, to ensure adequate staffing levels to meet fluctuating daily volume.
- Ensure the shipping area is kept clean, organized, and efficient, adhering to 5S principles or other lean methodologies.
- Collaborate with the inventory control team to perform cycle counts and physical inventories, ensuring the systemic accuracy of finished goods inventory.
- Train new and existing employees on standard operating procedures (SOPs), WMS functionality, and safe work practices.
- Act as the primary point of contact for any escalated issues related to outbound shipments, providing timely and effective resolutions.
- Evaluate and report on carrier performance, holding them accountable to service level agreements and providing feedback for quarterly business reviews.
- Manage the procurement and inventory of all shipping supplies, such as boxes, tape, labels, and dunnage, to prevent operational downtime.
- Ensure compliance with all transportation regulations, including those set by the Department of Transportation (DOT), IATA, and other relevant governing bodies.

Required Skills & Competencies
Hard Skills (Technical)
- Warehouse Management Systems (WMS): Advanced proficiency in using WMS platforms to manage orders, inventory, and labor.
- ERP Systems: Experience with integrated ERP software (e.g., SAP, Oracle, NetSuite) for order processing and inventory management.
- Transportation Management Systems (TMS): Familiarity with TMS for carrier selection, load tendering, and freight auditing.
