Core Responsibilities

Primary Functions

  • Serve as the main on-site point of contact, expertly coordinating daily activities and logistics between various trade partners, subcontractors, and internal teams to ensure project milestones are met on schedule.
  • Meticulously manage and distribute all project-related documentation, including drawings, specifications, shop drawings, RFIs (Requests for Information), and change orders, ensuring all stakeholders are working from the most current information.
  • Proactively track, receive, and inspect all incoming materials and equipment deliveries, verifying quantities and quality against purchase orders and coordinating storage and distribution on-site.
  • Prepare and distribute comprehensive daily and weekly site reports, detailing work progress, personnel on-site, safety incidents, weather conditions, and any delays or challenges encountered.
  • Actively assist the Project Manager and Site Superintendent in developing, updating, and maintaining the master project schedule, highlighting potential conflicts and resource constraints.
  • Champion and enforce on-site safety protocols and procedures in accordance with company policy and OSHA regulations, conducting safety orientations for new workers and participating in safety audits.
  • Facilitate clear and consistent communication by organizing, attending, and documenting minutes for various site meetings, including subcontractor coordination meetings, safety huddles, and progress reviews.
  • Manage the Request for Information (RFI) and submittal processes, ensuring timely responses from a_nd distribution to the relevant design and engineering teams to avoid project delays.
  • Maintain a highly organized system for all project records, both physical and digital, including permits, inspection reports, photos, and correspondence, ensuring they are easily accessible for audits and close-out.
  • Coordinate all on-site temporary facilities and utilities, such as power, water, sanitation, and site office setup, ensuring they are functional and meet the project's needs.
  • Liaise with municipal inspectors and third-party testing agencies to schedule and facilitate required inspections, ensuring all necessary documentation is prepared and available.
  • Assist in the project close-out phase by compiling as-built drawings, operations and maintenance (O&M) manuals, and warranty information into a final handover package for the client.
  • Monitor and document subcontractor work to ensure it aligns with contract scope and quality standards, reporting any deviations or deficiencies to the Site Superintendent.
  • Provide essential administrative support to the on-site management team, including processing site-related invoices, tracking costs against the budget, and managing petty cash.
  • Resolve day-to-day operational and logistical challenges on-site, applying critical thinking to find swift and effective solutions that minimize disruption to project progress.
  • Track employee, subcontractor, and visitor access to the site, maintaining accurate sign-in/sign-out logs and ensuring compliance with site security procedures.
  • Coordinate the mobilization and demobilization of equipment, personnel, and materials at the beginning and end of the project or its phases.
  • Support the Quality Control/Quality Assurance (QA/QC) program by documenting inspections, tracking non-conformance reports, and ensuring corrective actions are completed.
  • Manage the on-site inventory of consumable supplies, tools, and personal protective equipment (PPE), placing orders as needed to prevent shortages.
  • Act as a first point of contact for inquiries from the public or neighboring properties, handling them professionally or directing them to the appropriate project representative.

Required Skills & Competencies

Hard Skills (Technical)

Experience Requirements
