Core Responsibilities

Primary Functions

  • Meticulously prepare and process federal, state, and local tax returns, with a strong focus on indirect taxes such as sales & use, property, and gross receipts taxes.
  • Manage and maintain the corporate tax calendar, diligently tracking all filing deadlines, payment schedules, and reporting requirements to ensure timely compliance and avoid penalties.
  • Perform detailed reconciliations of tax-related general ledger accounts (e.g., sales tax payable, property tax expense) and prepare accurate journal entries to reflect tax activity.
  • Act as the primary point of contact for responding to notices, inquiries, and information requests from various federal, state, and local tax authorities, drafting clear and professional correspondence.
  • Gather, organize, and analyze financial data and supporting documentation from various internal departments required for tax return preparation, audits, and provision calculations.
  • Maintain the company’s library of customer and vendor tax exemption certificates, ensuring all documentation is current, valid, and properly filed for audit purposes.
  • Assist senior tax personnel in the preparation of the quarterly and annual income tax provision calculations and related financial statement disclosures under ASC 740.
  • Calculate, process, and file estimated tax payments and extensions for a variety of tax types across multiple jurisdictions, ensuring accuracy and timeliness.
  • Support internal and external tax audits by retrieving requested documentation, preparing schedules, and assisting with the analysis of audited items.
  • Conduct thorough research on basic tax issues and monitor legislative and regulatory changes to help identify potential impacts on the company's compliance obligations.
  • Prepare and file various annual reports, business license renewals, and other jurisdictional compliance documents to maintain the company’s good standing.
  • Administer and maintain the integrity of tax data within the company's ERP system (e.g., SAP, Oracle, NetSuite), including tax rates and taxability matrices.
  • Prepare informational tax returns, including the filing of Forms 1099-MISC/NEC and 1042, by compiling and verifying recipient data.
  • Systematically manage and maintain organized, audit-ready electronic and physical files for all tax returns, workpapers, correspondence, and research.
  • Assist with the setup and configuration of tax software and systems (e.g., Vertex, Avalara, ONESOURCE) to ensure accurate tax calculation and reporting.
  • Prepare detailed personal property tax renditions for all company locations, compiling asset listings and ensuring timely filing with local assessors.
  • Reconcile transaction tax reports from billing systems to the amounts reported on filed tax returns, investigating and resolving any discrepancies.
  • Support special projects led by the tax department, such as nexus studies, tax planning initiatives, credit and incentive analysis, and process improvement projects.
  • Process and code tax-related invoices from service providers and jurisdictions for payment, ensuring proper departmental and GL allocation.
  • Collaborate effectively with cross-functional teams, including Accounting, Legal, Treasury, and Operations, to obtain necessary information and ensure holistic compliance.

  • Contribute to the continuous improvement of tax administration processes and documentation.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Microsoft Excel Proficiency: Demonstrated ability to expertly use pivot tables, VLOOKUP/XLOOKUP, SUMIF, and other complex formulas for data manipulation and analysis.
  • Tax Software Experience: Hands-on experience with at least one major tax compliance software (e.g., Thomson Reuters ONESOURCE, CCH Axcess, Vertex, Avalara).
  • ERP System Familiarity: Working knowledge of major ERP systems such as SAP, Oracle, or NetSuite, particularly the accounts payable and general ledger modules.
  • Tax Research Skills: Ability to use online tax research platforms (e.g., RIA Checkpoint, CCH IntelliConnect, BNA) to find and interpret tax laws and regulations.
  • General Ledger Reconciliation: Proven skill in reconciling complex balance sheet accounts and preparing accurate, well-documented journal entries.
  • Knowledge of Indirect Taxes: Solid understanding of the principles and compliance requirements for sales and use tax and/or personal property tax.
