Core Responsibilities

Primary Functions

  • Proactively manage and coordinate complex calendars for multiple team members, including scheduling internal and external meetings across different time zones, resolving conflicts, and ensuring all participants have the necessary information and materials.
  • Coordinate all aspects of domestic and international travel arrangements, including booking flights, accommodations, and ground transportation, while preparing detailed itineraries and managing visa applications where necessary.
  • Plan and execute team meetings, off-sites, and events, from securing venues and coordinating catering to preparing agendas, taking minutes, and distributing follow-up action items.
  • Prepare, submit, and track expense reports in a timely and accurate manner, ensuring compliance with company policies and reconciling corporate credit card statements.
  • Act as the primary gatekeeper for the team, triaging incoming requests, screening calls, and directing correspondence to the appropriate individuals to optimize workflow.
  • Prepare and edit high-quality correspondence, communications, presentations, and other documents using MS Office and Google Workspace.
  • Develop and maintain a comprehensive and organized filing system for both digital and physical documents, ensuring easy retrieval and secure information management.
  • Manage the procurement of office supplies, equipment, and other necessary resources for the team, monitoring inventory levels and processing purchase orders.
  • Facilitate the onboarding process for new team members by coordinating with HR and IT, preparing welcome materials, and scheduling introductory meetings.
  • Serve as a central point of contact for internal and external stakeholders, building positive relationships and ensuring professional communication at all times.
  • Provide light project management support, tracking project timelines, deliverables, and key milestones to assist team leaders.
  • Handle confidential information with the utmost discretion and professionalism, maintaining trust and integrity within the team.
  • Assist in the preparation of regular reports and presentations by gathering and organizing data from various sources.
  • Manage team distribution lists, organizational charts, and contact information, ensuring all records are current and accurate.
  • Provide general administrative support, including photocopying, scanning, mailing, and handling incoming and outgoing mail and packages.
  • Coordinate with facilities management to address any office maintenance or space-related issues for the team.
  • Support the team's budget tracking efforts by monitoring expenditures and assisting with financial administration tasks.
  • Act as a knowledge resource for company policies and procedures, guiding team members on administrative best practices.
  • Arrange and confirm appointments on behalf of team members, providing reminders and necessary logistical details.

Secondary Functions
