Core Responsibilities

Primary Functions

  • Develop and implement a comprehensive preventative and predictive maintenance program for all critical building systems, including HVAC, electrical distribution, generators, UPS, plumbing, and fire/life safety systems.
  • Directly supervise and mentor a team of in-house maintenance technicians, engineers, and external contractors, setting performance standards and ensuring high-quality workmanship.
  • Manage the facility's operational and capital budgets, including forecasting, expense tracking, variance reporting, and developing business cases for major capital improvement projects.
  • Oversee all vendor and contractor relationships, from scope definition and competitive bidding to contract negotiation, performance management, and invoice approval for services like janitorial, security, and specialized technical maintenance.
  • Serve as the primary point of contact and lead for all facility-related emergencies, developing and executing emergency response plans to minimize downtime and ensure personnel safety.
  • Ensure unwavering compliance with all local, state, and federal regulations, including OSHA, EPA, ADA, and building codes, and maintain all necessary permits and documentation.
  • Champion the use of Building Management Systems (BMS) and Computerized Maintenance Management Systems (CMMS) to monitor system performance, manage work orders, and generate reports for data-driven decision-making.
  • Lead the planning, coordination, and execution of facility-related projects, such as office reconfigurations, equipment installations, infrastructure upgrades, and building expansions, on time and within budget.
  • Conduct regular and thorough facility inspections and audits to identify potential issues, safety hazards, or deferred maintenance needs, and develop corrective action plans.
  • Drive sustainability initiatives by identifying and implementing energy, water, and waste reduction programs to lower operational costs and improve the company's environmental footprint.
  • Manage and optimize space utilization, coordinating with department heads to accommodate headcount changes and evolving business needs through strategic space planning.
  • Develop and maintain robust business continuity and disaster recovery plans for all critical facility operations to ensure operational resilience.
  • Act as the key liaison between facility operations and senior leadership, providing regular updates, detailed reports, and strategic recommendations on the health and performance of the physical assets.
  • Oversee the physical security of the facility, managing access control systems, surveillance equipment, and coordination with security service providers.
  • Manage the procurement of all facility-related parts, supplies, and equipment, ensuring cost-effectiveness and maintaining appropriate inventory levels.
  • Develop and deliver safety training programs for employees and the facilities team, promoting a strong culture of safety and awareness throughout the organization.
  • Evaluate and recommend new technologies and innovative solutions to improve operational efficiency, reliability, and the overall functionality of the facility.
  • Direct the response to and resolution of all service requests from building occupants, ensuring a high level of customer satisfaction and timely communication.
  • Negotiate and manage service level agreements (SLAs) with all third-party service providers to ensure accountability and performance that meets or exceeds organizational standards.
  • Maintain meticulous records and drawings of building systems, including as-builts, schematics, and operational manuals, ensuring they are current and accessible.

Required Skills & Competencies

Hard Skills (Technical)

  • MEP/HVAC Systems Expertise: Deep, hands-on knowledge of commercial mechanical, electrical, plumbing, and HVAC systems, including chillers, boilers, VAVs, and air handlers.
  • Building Management Systems (BMS): Proficiency in operating and optimizing advanced BMS platforms (e.g., Siemens, Johnson Controls, Schneider Electric) for diagnostics and energy management.
  • CMMS Proficiency: Expertise in using Computerized Maintenance Management Systems to manage work orders, assets, and preventive maintenance schedules.
  • Project Management: Proven ability to manage complex facility projects from conception to completion, including scoping, budgeting, scheduling, and contractor oversight.

Educational Background

Minimum Education:

  • Professional certifications such as Certified Facility Manager (CFM), Facility Management Professional (FMP), or a PMP.
