Primary Functions

  • Accurately transcribe complex, multi-speaker audio and video content from technical fields, including legal depositions, medical advisory boards, financial earnings calls, and engineering project meetings.
  • Meticulously research and verify specialized terminology, acronyms, industry-specific jargon, and proper nouns using domain-specific resources to ensure absolute transcript accuracy.
  • Listen to and process audio content that may be of varying quality or include heavy accents, background noise, and rapid speech, employing excellent auditory discrimination skills.
  • Apply strict formatting, style guides, and client-specific templates to all transcripts, ensuring consistency in speaker identification, timestamps, and document layout.
  • Perform thorough proofreading and editing of your own work and potentially the work of peers to correct any grammatical, spelling, punctuation, or formatting errors.
  • Manage a pipeline of multiple transcription projects simultaneously, effectively prioritizing tasks to meet tight and often competing deadlines without sacrificing quality.
  • Identify, flag, and timestamp inaudible, unclear, or ambiguous sections of audio for client clarification, providing contextual notes where possible.
  • Maintain a high level of confidentiality and adhere to strict data security protocols (such as HIPAA or legal privilege) when handling sensitive or proprietary information.
  • Convert verbatim spoken language into clean, readable text, making intelligent decisions about how to handle false starts, filler words, and grammatical errors based on project requirements (verbatim vs. clean read).
  • Transcribe dialogue from focus groups, interviews, and market research sessions, ensuring each speaker is correctly identified and their contributions are captured precisely.
  • Work with a variety of audio and video file formats, and be comfortable using a range of professional transcription software and foot-pedal hardware.
  • Create and maintain personal and team glossaries for specific projects or clients to improve consistency and efficiency over time.
  • Review and edit machine-generated transcripts (AI transcription), correcting errors in terminology, speaker labeling, and punctuation to bring them up to human-quality standards.
  • Provide detailed time-coding and annotation of transcripts to synchronize the text with the source audio or video for subtitling or analytical purposes.
  • Transcribe content from live or near-live events, such as webinars or press conferences, requiring rapid turnaround times and a high degree of focus.
  • Ensure all speaker attributions are correct in panel discussions, court proceedings, or multi-participant meetings, which requires keen attention to voice differentiation.
  • Prepare and format final transcripts for delivery to clients or internal stakeholders in various formats, such as Word documents, PDFs, or plain text files.
  • Communicate proactively with project managers or clients to resolve any issues, clarify instructions, and provide status updates on ongoing projects.
  • Adapt to new subject matter quickly, demonstrating an ability to get up to speed on the vocabulary and concepts of unfamiliar technical or scientific fields.
  • Document and report any technical issues with audio files or transcription platforms to the appropriate support teams.

Required Skills & Competencies

Hard Skills (Technical)

  • Exceptional typing speed (typically 80+ WPM) combined with near-perfect accuracy.
  • Proficiency with professional transcription software (e.g., Express Scribe, oTranscribe) and foot-pedal operation.
  • Superior command of the English language, including grammar, punctuation, spelling, and syntax.
  • Expertise in using online search engines, specialized dictionaries, and other research tools for terminology verification.
  • Familiarity with a variety of audio/video file types and basic audio quality assessment.
