Core Responsibilities
Primary Functions
- Oversee and streamline the entire patient lifecycle, from initial inquiry and intake coordination to scheduling, billing, and discharge, ensuring a consistently positive and seamless patient experience.
- Manage the practice's complete revenue cycle, including claims submission, payment posting, denial management, and patient collections, to optimize cash flow and minimize accounts receivable.
- Develop, implement, and monitor the annual operating budget, providing regular financial performance reports, P&L analysis, and strategic recommendations to practice owners.
- Direct all human resources functions for administrative staff, including recruitment, hiring, onboarding, training, performance management, and payroll processing.
- Lead and champion the implementation and optimization of the Electronic Health Record (EHR) system and other practice management software to improve efficiency and clinical documentation.
- Ensure the practice maintains strict compliance with all relevant regulations, including HIPAA, state licensing board requirements, and insurance panel standards.
- Develop and execute a comprehensive marketing and community outreach strategy to drive new patient acquisition, build referral relationships, and enhance the practice's brand visibility.
- Manage clinician credentialing and re-credentialing with all insurance panels, ensuring all providers are properly enrolled and in good standing to prevent revenue disruption.
- Supervise the daily administrative and operational functions of the office, including managing front desk staff, maintaining office supplies, and ensuring a welcoming and professional environment.
- Act as the primary liaison between clinical staff and administrative staff, facilitating clear communication and fostering a collaborative and supportive team culture.
- Analyze key performance indicators (KPIs) such as clinician utilization rates, patient retention, referral sources, and financial metrics to identify trends and inform strategic decisions.
- Negotiate contracts with vendors, insurance companies, and service providers to ensure the practice receives favorable terms and cost-effective services.
