Primary Functions

  • Create, manage, and maintain highly detailed tour documentation, encompassing client itineraries, supplier confirmations, and internal operational files, with a focus on absolute accuracy and clarity.
  • Perform detailed tour costing, establish strategic pricing models, and manage profit margins effectively to meet and exceed the financial targets set for each travel product.
  • Collaborate proactively with sales and marketing teams to produce compelling promotional materials, engaging website content, and thorough training documents that effectively communicate the value of tour packages.
  • Serve as a subject matter expert, providing expert advice and detailed information to travel agents and direct clients regarding destinations, itineraries, inclusions, and travel practicalities.
  • Handle and decisively resolve any operational issues, client emergencies, or customer complaints that may arise before, during, or after a tour, deploying timely and effective solutions.
  • Continuously monitor, assess, and evaluate supplier performance to ensure they consistently adhere to quality standards, safety protocols, and contractual obligations.
  • Meticulously manage group and individual travel reservations from initial inquiry through to final confirmation, ensuring all booking details are accurately entered and processed within the reservation system.
  • Prepare and issue all necessary travel documents, including vouchers, e-tickets, and final detailed itineraries, ensuring timely and accurate delivery to clients or travel agents.
  • Diligently oversee and manage rooming lists, special client requests, and dietary requirements, communicating these critical details effectively to all relevant suppliers and ground staff.
  • Maintain and update extensive product information across various company platforms, including the central booking system, public-facing website, and partner agent portals.
  • Conduct structured pre-tour briefings and post-tour debriefings with tour leaders and guides to ensure consistent service delivery and gather valuable feedback for continuous product improvement.
  • Proactively build and nurture strong, long-term relationships with key suppliers and Destination Management Companies (DMCs) to enhance partnerships and strengthen negotiation power.
