Core Responsibilities

Primary Functions

  • Conduct in-depth consultations with clients to fully understand their travel preferences, interests, budget constraints, and desired experience level.
  • Design and develop highly customized, detailed day-by-day travel itineraries that align with client needs, incorporating accommodations, transportation, tours, and unique activities.
  • Research and maintain an expert-level knowledge base of various global destinations, including cultural norms, safety regulations, visa requirements, and local attractions.
  • Prepare, present, and revise comprehensive travel proposals and quotes, clearly outlining all included services, costs, and terms and conditions.
  • Execute all booking and reservation logistics, including flights, hotels, car rentals, cruises, ground transportation, and specialized tours, ensuring accuracy and efficiency.
  • Cultivate and manage strong relationships with a global network of suppliers, including hotels, tour operators, and destination management companies (DMCs), to ensure preferential rates and service.
  • Negotiate contracts, rates, and amenities with vendors to secure the best possible value for clients while maintaining quality standards.
  • Advise clients on essential travel documentation, such as passports, visas, and international driving permits, and assist in the application process where necessary.
  • Arrange and confirm comprehensive travel insurance policies, explaining coverage details and ensuring clients are adequately protected.
  • Prepare and distribute detailed pre-departure information packets for clients, including final itineraries, contact lists, packing suggestions, and cultural tips.
  • Serve as the primary point of contact for clients before, during, and after their trip, providing on-call support for any travel-related issues that may arise.
  • Proactively manage and resolve any in-travel disruptions, such as flight cancellations, booking errors, or unforeseen emergencies, with a calm and solution-oriented approach.
  • Process client payments, manage invoicing, and meticulously track all financial transactions related to bookings to ensure accurate accounting.
  • Utilize Global Distribution Systems (GDS) like Amadeus, Sabre, or Galileo for booking flights, hotels, and car rentals efficiently.
  • Maintain accurate and up-to-date client records and trip details within the company's Customer Relationship Management (CRM) system.
  • Actively seek and collect post-travel feedback from clients to gauge satisfaction, identify areas for improvement, and generate testimonials.
  • Stay abreast of emerging travel trends, new destinations, airline routes, and industry regulations to provide clients with innovative and current advice.
  • Collaborate with the marketing team to develop promotional materials, contribute to blog posts, and help showcase travel packages and destination expertise.
  • Upsell and cross-sell additional services, such as room upgrades, private tours, or special dining experiences, to enhance the client's trip and generate ancillary revenue.
  • Ensure all travel arrangements comply with international and local regulations, including health, safety, and financial protection laws.
  • Develop and manage group travel itineraries, coordinating complex logistics for multiple travelers with varying needs and preferences.
  • Create and maintain a portfolio of preferred suppliers and products, continuously evaluating their performance and quality to ensure they meet company standards.
