Core Responsibilities

Primary Functions

  • Set up, configure, and troubleshoot classroom technology, including projectors, audio/visual systems, smart boards, and video conferencing equipment, to ensure complete readiness for all training sessions.
  • Provide real-time technical support to instructors and participants during live and virtual training sessions, promptly resolving any hardware, software, or network connectivity issues that arise.
  • Manage and maintain the technical infrastructure of all physical training rooms and virtual learning environments, performing regular checks and preventative maintenance on all equipment.
  • Administer the Learning Management System (LMS), including creating new course shells, uploading and updating training content, managing user enrollments, and generating custom completion reports.
  • Prepare, duplicate, and distribute both physical and digital training materials, such as workbooks, guides, and digital assets, ensuring all resources are available for participants before each session.
  • Operate video recording and streaming equipment to capture live training sessions for on-demand playback, which includes basic editing and post-production tasks to create polished final versions.
  • Assist in the setup and end-to-end management of virtual classroom platforms like Zoom, Microsoft Teams, or Webex, including scheduling sessions, managing breakout rooms, and assisting with interactive features like polls and Q&A.
  • Conduct pre-session technical checks and rehearsals with internal and external instructors to ensure they are comfortable with the technology and that all systems are functioning as expected.
  • Maintain a precise and up-to-date inventory of all training equipment, software licenses, and consumable supplies, and coordinate the procurement of new items as needed to avoid shortages.
  • Install, update, and configure specialized software on training lab computers or virtual machines to meet the specific requirements of technical and systems-based courses.
  • Collaborate with instructional designers and trainers to understand the technical requirements of new courses and provide valuable input on the feasibility and best use of available technology.
  • Develop and maintain clear, user-friendly documentation, quick-reference guides, and standard operating procedures (SOPs) for training room equipment and virtual learning platforms.
  • Provide basic "how-to" training and orientation for new instructors and facilitators on the effective use of classroom technology and virtual training software.
  • Monitor and respond to technical support tickets and inquiries from the training department and learners in a timely, professional, and helpful manner.
  • Coordinate the logistics for in-person training sessions, which can include room booking, catering arrangements, and acting as a liaison with facilities management to ensure a smooth event.
  • Reset and re-image classroom computers and virtual environments after each training session to ensure a clean, standardized, and secure setup for the next group.
  • Evaluate and recommend new learning technologies, software, and hardware to enhance the training experience and improve the operational efficiency of the training department.
  • Assist with the physical setup and breakdown of training rooms, including arranging tables, chairs, and equipment according to specific session requirements and layouts.
  • Manage user accounts and permissions within various learning technology systems, ensuring appropriate access levels for instructors, administrators, and learners based on their roles.
  • Collect, compile, and analyze feedback from participants and instructors regarding the technical aspects of training delivery to identify recurring issues and areas for improvement.
  • Support the production of multimedia learning assets, such as recording and editing voice-overs, creating simple graphics, or editing short instructional video clips.
  • Ensure all technical setups and procedures strictly comply with company IT security policies and data privacy regulations to protect corporate and personal information.

Secondary Functions

  • Support the Training and Development team with various administrative tasks and special projects as assigned.
  • Contribute to team meetings by providing updates on technical operations and suggesting process improvements.
  • Collaborate with the central IT department to escalate and resolve complex network, hardware, or software issues impacting training environments.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with audio/visual (AV) equipment, including projectors, microphones, sound systems, and video conferencing units (e.g., Polycom, Crestron, Cisco).
  • Experience managing and administering a Learning Management System (LMS) such as Cornerstone, Moodle, Canvas, or Docebo.
  • Strong knowledge of virtual classroom and web conferencing platforms like Zoom, Microsoft Teams, Webex, and Adobe Connect, including their administrative functions.
  • Advanced skills in the Microsoft Office Suite (PowerPoint, Word, Excel, Outlook) for material preparation, scheduling, and reporting.
  • Hands-on experience with PC and Mac hardware troubleshooting, software installation, and system imaging/cloning.
  • Familiarity with basic networking concepts (TCP/IP, Wi-Fi, DNS, VPN) to effectively diagnose and resolve connectivity issues.
  • Competency with basic video recording and editing software (e.g., Camtasia, Adobe Premiere Rush, iMovie).
  • Broad knowledge of modern operating systems, including Windows 10/11 and macOS.
  • Ability to create and maintain clear technical documentation and user-friendly job aids.
  • Experience with IT service management or ticketing systems (e.g., Jira, ServiceNow, Zendesk) for tracking support requests.
  • Foundational understanding of e-learning standards like SCORM and xAPI.
