Core Responsibilities

Primary Functions

  • Accurately transcribe complex multi-speaker audio and video files, including interviews, webinars, focus groups, and academic lectures, adhering to strict verbatim or clean-read style guides.
  • Meticulously proofread and edit all transcribed documents to ensure impeccable grammar, spelling, punctuation, and syntax, delivering a polished and professional final product.
  • Listen to audio recordings with a high degree of concentration to distinguish between different speakers and accurately identify them in the transcript.
  • Research and verify the correct spelling of specialized terminology, industry-specific jargon, company names, and proper nouns encountered in the audio.
  • Manage a high volume of transcription projects simultaneously, effectively prioritizing tasks to meet and exceed client-stipulated deadlines.
  • Implement specific client formatting requirements, including the use of timestamps, speaker labels, and other notations as instructed per project guidelines.
  • Perform quality assurance checks on transcripts completed by other team members, providing constructive feedback to ensure consistency and adherence to quality standards.
  • Maintain a comprehensive understanding of and strict adherence to confidentiality agreements and data security protocols to protect sensitive client information.
  • Operate specialized transcription software (e.g., Express Scribe) and foot pedals efficiently to control audio playback for optimal transcription speed and accuracy.
  • Communicate proactively with project managers regarding any audio quality issues, unclear segments, or potential delays to ensure project success.
  • Convert raw audio and video files into various text formats (.txt, .doc, .srt) based on the end-use requirements of the content.
  • Transcribe content with heavy accents, background noise, or rapid speech patterns, employing advanced listening skills to capture the most accurate possible text.
  • Follow detailed style guides and project briefs to ensure every transcript aligns perfectly with client expectations for tone, format, and level of detail.
  • Create and maintain personal glossaries of terms for recurring clients or specialized subject matter to improve consistency and efficiency over time.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis by providing clean, transcribed text for qualitative research teams.
  • Contribute to the organization's knowledge base by documenting best practices, style guide updates, and common transcription challenges.
  • Collaborate with business units to understand the context of the recordings, helping to improve the accuracy and relevance of the final transcript.
  • Participate in team meetings and training sessions to stay updated on new software, tools, and transcription standards.
  • Assist in the evaluation and testing of new transcription software and AI-powered transcription tools to improve team-wide workflow efficiency.
  • Provide administrative support related to file management, including organizing audio and text files in a logical and secure digital filing system.

  • Exceptional Typing Speed and Accuracy: A minimum typing speed of 75+ words per minute (WPM) with near-perfect accuracy.
  • Mastery of English Grammar: Superior command of English grammar, punctuation, spelling, and syntax.
  • Transcription Software Proficiency: Expertise in using transcription software like Express Scribe, Trint, or Descript, including the use of foot pedals.
  • Audio Acuity: Ability to decipher challenging audio, including multiple speakers, heavy accents, and background noise.
  • Microsoft Office / Google Workspace: High proficiency in Microsoft Word and/or Google Docs for formatting and finalizing documents.
  • Research Skills: Ability to quickly and effectively research unfamiliar terms, acronyms, and proper nouns using online resources.
