Core Responsibilities

Primary Functions

  • Direct and oversee the daily activities of a team of remote and/or in-house transcriptionists, ensuring optimal allocation of resources and workload balance.
  • Develop, implement, and rigorously maintain quality assurance protocols to guarantee all transcripts meet or exceed accuracy, formatting, and client-specific style guide standards.
  • Monitor team and individual performance metrics, including turnaround times (TAT), lines per hour, and accuracy rates, to identify trends and areas for improvement.
  • Manage the end-to-end workflow, from file intake and assignment distribution to final quality checks and delivery, ensuring all deadlines are met without exception.
  • Provide regular, constructive, and detailed feedback, coaching, and mentorship to transcriptionists to enhance their skills, knowledge, and overall performance.
  • Act as the senior subject matter expert and primary point of escalation for the team, resolving complex issues related to poor audio quality, difficult accents, or specialized terminology.
  • Conduct formal performance reviews and ongoing check-ins, setting clear goals and outlining development paths for each team member.
  • Design and deliver comprehensive training programs for new hires and ongoing professional development workshops for the existing team on new tools, procedures, or industry standards.
  • Review and approve final transcripts, performing spot-checks and deep-dive audits to ensure consistent adherence to quality benchmarks across the team.
  • Maintain and update all procedural documentation, including style guides, training materials, and workflow diagrams, to ensure they remain current and effective.
  • Foster a collaborative, positive, and high-performance team culture that emphasizes accountability, communication, and a commitment to excellence.
  • Mediate and resolve interpersonal conflicts within the team, promoting a professional and respectful work environment.

Secondary Functions

  • Spearhead the full-cycle recruitment process for new transcriptionists, from screening and testing candidates to conducting interviews and managing the onboarding process.
  • Collaborate with the IT department to troubleshoot software issues, evaluate new transcription technologies, and recommend system enhancements to improve efficiency.
  • Generate and present detailed operational reports to senior management, highlighting team productivity, quality trends, and key performance indicators.
  • Serve as a liaison between the transcription team and client-facing departments to clarify project specifications, manage expectations, and communicate any potential delays.
