Core Responsibilities
Primary Functions
- Manage the entire lifecycle of multiple translation and localization projects simultaneously, from initial analysis and quoting through to final delivery and invoicing.
- Act as the primary point of contact for clients, building strong relationships by setting clear expectations, providing regular status updates, and proactively addressing any concerns.
- Analyze project scope and client requirements to prepare accurate and competitive cost estimates and project timelines.
- Plan, schedule, and meticulously monitor project timelines and milestones, ensuring all deliverables are completed on time and within the allocated budget.
- Select and assign the most suitable teams of freelance or in-house translators, editors, and proofreaders based on subject matter expertise, language pair, and availability.
- Provide linguists with all necessary project instructions, reference materials, glossaries, and style guides to ensure consistency and quality.
- Conduct comprehensive project kick-off meetings with all internal and external stakeholders to align on goals, deliverables, and processes.
- Manage project financials, including tracking costs against the budget, managing purchase orders for vendors, and ensuring project profitability.
- Perform linguistic quality assurance (LQA) checks and coordinate the resolution of any feedback from clients or internal reviewers.
- Mitigate project risks by identifying potential issues related to deadlines, quality, or budget and implementing effective contingency plans.
- Become a proficient user of Translation Management Systems (TMS) and CAT (Computer-Aided Translation) tools to streamline workflows and improve efficiency.
- Prepare and maintain all project-related documentation, including project plans, status reports, and post-mortem analyses.
- Negotiate deadlines and rates with freelance vendors to ensure projects remain profitable while maintaining strong vendor relationships.
- Coordinate with Desktop Publishing (DTP) specialists and engineers to handle the formatting of translated documents and the localization of software or websites.
- Ensure the timely delivery of all project files in the correct format as specified by the client.
- Conduct post-project review sessions to identify lessons learned and contribute to the continuous improvement of our processes and best practices.
- Handle client escalations with professionalism and a solutions-oriented mindset, working to resolve issues to the client's satisfaction.
- Educate clients on localization best practices to help them optimize their source content for translation and improve overall efficiency.
- Generate and analyze project reports on profitability, on-time delivery, and quality metrics to drive data-informed decisions.
- Maintain and update translation memories (TMs) and term bases (TBs) for each client to ensure linguistic consistency and leverage cost savings over time.
Secondary Functions
- Support the sales and account management teams by providing technical expertise and scoping assistance during the pre-sales process.
- Contribute to the onboarding, training, and mentoring of new or junior project coordinators and managers.
- Participate in the evaluation and recruitment of new linguistic vendors, including testing and background checks.
- Assist in testing and providing feedback on new features within the company's TMS or other production technologies.
Required Skills & Competencies
Hard Skills (Technical)
- TMS/Localization Platforms: Deep proficiency in at least one major Translation Management System (TMS) like Plunet, XTRF, WorldServer, or an equivalent proprietary system.
- CAT Tool Expertise: Hands-on experience and a strong understanding of major CAT tools such as Trados Studio, memoQ, Smartling, Memsource/Phrase, or Wordbee.
- Financial Acumen: Strong ability to create quotes, manage project budgets, track profitability, and understand financial reporting.
- MS Office Suite: Advanced proficiency in Microsoft Office, particularly Excel for budgeting and reporting, and Word for content preparation.
- File Format Knowledge: Familiarity with a wide range of file formats and the challenges they present for translation (e.g., XML, HTML, JSON, InDesign, Articulate Storyline).
