Core Responsibilities

Primary Functions

  • Meticulously plan and execute daily transport schedules, optimizing routes for maximum efficiency, cost-effectiveness, and adherence to delivery windows.
  • Serve as the primary point of contact for the driving team, providing clear instructions, route details, and ongoing support throughout their shifts.
  • Conduct comprehensive driver briefings and debriefings to communicate daily objectives, review performance, and address any operational challenges.
  • Proactively monitor vehicle and shipment progress using GPS tracking and Transport Management Systems (TMS), identifying and resolving potential delays before they impact customers.
  • Manage and allocate resources effectively, including drivers and vehicles, to meet fluctuating customer demand and operational requirements.
  • Ensure strict adherence to all transport legislation, including drivers' hours regulations (Tachograph laws), Working Time Directive (WTD), and vehicle safety standards.
  • Liaise directly with customers to provide accurate updates on estimated times of arrival (ETAs), manage expectations, and professionally handle any queries or service issues.
  • Coordinate with third-party hauliers and logistics partners to book transport, negotiate rates, and ensure seamless integration with the core fleet.
  • Process and manage all essential transport documentation, including delivery notes, proof of delivery (PODs), run sheets, and collection manifests, ensuring accuracy and timely completion.
  • Actively manage vehicle availability, coordinating with maintenance providers to schedule routine inspections, services, and MOTs to minimize vehicle downtime.
  • Troubleshoot and resolve unexpected operational issues, such as vehicle breakdowns, traffic congestion, or delivery discrepancies, with a calm and logical approach.
  • Update and maintain the Transport Management System (TMS) with real-time data, ensuring all job information, statuses, and costs are recorded accurately.
  • Monitor key performance indicators (KPIs) such as on-time performance, vehicle utilization, and fuel efficiency, contributing to performance reports for management.
  • Ensure all transport activities are conducted in compliance with company health and safety policies, promoting a safe working environment for all staff.
  • Collaborate closely with warehouse, sales, and customer service teams to ensure a fluid and integrated approach to order fulfillment and dispatch.
  • Control transport-related costs by planning efficient backloads, minimizing empty running, and selecting the most cost-effective service options.
  • Manage the booking and administration of international shipments, ensuring all customs and freight forwarding documentation is correctly prepared and submitted.
  • Handle communication regarding vehicle defects, ensuring issues are reported promptly and that vehicles are not used until they are roadworthy.

Required Skills & Competencies

Hard Skills (Technical)

  • Transport Management Systems (TMS): High proficiency in using TMS software (e.g., Mandata, Stirling, Microlise) for planning, execution, and tracking.
  • Route Planning Software: Experience with route optimization tools like Paragon, Maxoptra, or Google Maps for commercial routing.
  • Legal & Compliance Knowledge: Strong understanding of UK and/or EU driver hours, Tachograph regulations, and the Working Time Directive.
  • Geographical Knowledge: Excellent knowledge of the national and/or regional road network relevant to the operation.
  • Microsoft Office Suite: Competency in MS Office, particularly Excel for creating reports, analyzing data, and managing spreadsheets.

  • National/International Certificate of Professional Competence (CPC) in Road Haulage is highly desirable.
