Core Responsibilities

Primary Functions

  • Directly supervise, mentor, and manage a team of drivers, dispatchers, and administrative staff, including recruitment, training, scheduling, and performance management.
  • Develop, implement, and optimize daily and weekly transport routes to maximize efficiency, reduce fuel consumption, and ensure on-time delivery metrics are consistently met.
  • Champion and enforce a robust safety culture, ensuring all operations are in strict compliance with Department of Transportation (DOT), OSHA, and other federal, state, and local transportation regulations.
  • Oversee the entire vehicle fleet, coordinating preventative maintenance schedules, repairs, and annual inspections to ensure vehicle safety, legality, and operational readiness.
  • Monitor, analyze, and report on key performance indicators (KPIs), including on-time performance, cost-per-mile, vehicle utilization, and driver safety records.
  • Act as the primary point of contact for resolving transportation-related issues, including delivery discrepancies, customer complaints, vehicle breakdowns, and driver concerns.
  • Manage the transportation budget, actively tracking expenditures, controlling costs, and identifying opportunities for financial savings without compromising service or safety.
  • Utilize Transportation Management Systems (TMS), GPS tracking, and other telematics software to monitor driver progress, track assets, and communicate real-time updates.
  • Conduct regular safety meetings and provide ongoing training to drivers on topics such as defensive driving, Hours of Service (HOS) regulations, and proper cargo handling.
  • Investigate and document all traffic incidents, accidents, and workplace injuries involving the transport team, implementing corrective actions to prevent recurrence.
  • Maintain meticulous and accurate records, including driver logs, vehicle inspection reports (DVIRs), bills of lading, and other essential transport documentation.
  • Foster strong collaborative relationships with other departments, particularly warehouse, sales, and customer service, to ensure seamless end-to-end order fulfillment.
  • Evaluate and manage relationships with third-party carriers (3PLs) and vendors, negotiating rates and ensuring they meet our standards for service and compliance.
  • Lead the implementation of new transportation technologies and continuous improvement initiatives to enhance operational efficiency and service quality.
  • Manage driver work assignments and dispatching processes, ensuring fair load distribution and compliance with all legal driving hour limitations.
  • Perform regular audits of transport procedures, driver paperwork, and vehicle condition to ensure ongoing compliance and identify areas for improvement.
    s- Coordinate backhauls and return logistics to minimize empty miles and maximize the profitability and utilization of the transportation fleet.
  • Address driver performance issues through coaching, counseling, and disciplinary action when necessary, in accordance with company policy and legal guidelines.
  • Prepare and present detailed operational reports to senior management, highlighting performance trends, challenges, and strategic recommendations.
  • Ensure all vehicles are properly equipped with necessary safety equipment, registration, and insurance documentation.

Secondary Functions

  • Assist the Transport Manager in the annual budget preparation and strategic planning process for the department.
  • Participate in cross-functional supply chain projects aimed at improving overall network efficiency and reducing lead times.
  • Contribute to the development and rollout of new company-wide policies and procedures, providing an operational transport perspective.
  • Represent the transportation department in daily or weekly operational planning meetings to ensure alignment with broader business objectives.

Required Skills & Competencies

Hard Skills (Technical)

  • Transportation Management Systems (TMS): Deep proficiency in using TMS platforms for dispatching, load planning, and tracking.
  • Regulatory Knowledge: Comprehensive understanding of DOT, FMCSA, HOS (Hours of Service), and other relevant transport regulations.
  • Route Optimization Software: Experience with software tools for planning and optimizing multi-stop delivery routes.
  • Fleet Management: Knowledge of vehicle maintenance cycles, diagnostics, and fleet lifecycle management.
  • MS Office Suite: Strong skills in Microsoft Excel for data analysis and reporting, as well as Word and Outlook for communication.
  • Telematics & GPS: Competence in using GPS tracking and vehicle telematics systems to monitor fleet performance and driver behavior.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:

  • 3-5 years of experience in a transportation, dispatch, or logistics environment, with at least 1-2 years in a lead or supervisory capacity.

  • Direct experience managing a private fleet and a team of commercial drivers. Experience within a specific industry (e.g., LTL, food distribution, manufacturing, retail) is a significant plus. A valid Commercial Driver's License (CDL) is often preferred but not always required.
