Core Responsibilities
Primary Functions
- Consult with clients via phone, email, and in-person meetings to understand their travel needs, preferences, budget, and desired experiences.
- Research, recommend, and provide expert advice on a wide range of destinations, transportation options, accommodation, tours, and activities.
- Design, create, and present complex and customized travel itineraries, including detailed daily schedules, booking confirmations, and destination guides.
- Utilize Global Distribution Systems (GDS) such as Sabre, Amadeus, or Galileo to efficiently book flights, hotels, car rentals, and other complex travel services.
- Manage the entire booking process, from securing reservations and processing payments to issuing tickets and travel documents.
- Advise clients on international travel regulations, including visa requirements, passport validity, customs, and health advisories, ensuring full preparedness.
- Proactively upsell and cross-sell ancillary products such as travel insurance, guided tours, airport transfers, and special excursion packages.
- Build and maintain a strong pipeline of new and repeat clients through networking, referrals, and exceptional customer service.
- Handle all financial aspects of bookings, including calculating costs, applying payments, issuing invoices, and managing commission tracking.
- Skillfully resolve client issues, complaints, and travel disruptions with a calm and solution-oriented approach, both pre-travel and during the trip.
- Create and manage comprehensive client profiles, meticulously documenting preferences, travel history, and loyalty program details.
- Meet and exceed established sales targets and revenue goals by converting leads and maximizing the value of each booking.
- Prepare and present final travel documents and conduct pre-departure briefings to ensure clients have a seamless travel experience.
- Maintain a deep and current knowledge of travel products, destinations, and supplier promotions to provide the most competitive and attractive options.
Secondary Functions
- Negotiate rates and build strong relationships with hotels, airlines, tour operators, and other travel suppliers to secure the best value for clients.
- Provide on-call support and assistance to clients experiencing travel emergencies, disruptions, or issues while abroad.
- Actively manage a client database (CRM), tracking preferences, travel history, and key dates to foster loyalty and anticipate future needs.
- Attend industry trade shows, supplier training sessions, and familiarization trips to continuously enhance product and destination knowledge.

- Process and manage booking modifications, cancellations, and refund requests in accordance with supplier and agency policies.
