Core Responsibilities

Primary Functions

  • Coordinate and book all domestic and international travel arrangements, including airfare, lodging, and ground transportation, ensuring strict compliance with company policy.
  • Research, evaluate, and secure the most cost-effective and convenient travel options while prioritizing traveler comfort and safety.
  • Prepare and distribute detailed and comprehensive travel itineraries, including all confirmation numbers, schedules, maps, and essential contact information.
  • Manage, process, and track applications for necessary travel documentation such as passports, visas, and other required international entry permits.
  • Serve as the primary point of contact for travelers, providing pre-travel guidance and real-time support for in-transit issues like flight cancellations, re-bookings, or delays.
  • Expertly utilize Global Distribution Systems (GDS) like Sabre, Amadeus, or Apollo, and online booking tools (e.g., Concur Travel) to execute bookings efficiently.
  • Verify that all travel requests are properly authorized by management and fall within established budget parameters before finalizing any bookings.
  • Maintain and meticulously update traveler profiles with personal details, frequent flyer numbers, loyalty program information, and specific travel preferences to personalize the booking process.
  • Negotiate directly with hotels, car rental companies, and other vendors to secure preferential corporate rates, block bookings, and special amenities.
  • Arrange complex multi-leg and multi-traveler trips, ensuring logical and efficient connections, layovers, and ground transfers.
  • Proactively monitor travel advisories, weather conditions, and global events to anticipate and manage potential disruptions to planned travel.
  • Handle the end-to-end booking and logistics for group travel, including for conferences, team offsites, and corporate events.
  • Ensure all travel arrangements adhere to specific client or project-related travel policies and unique billing requirements.
  • Manage the company's unused ticket and travel credit inventory, diligently tracking expiration dates and applying them to future bookings to maximize cost savings.

Secondary Functions

  • Audit, process, and reconcile employee travel and expense reports, ensuring accuracy, proper documentation, and adherence to reimbursement policies.
  • Reconcile corporate credit card statements used for travel bookings, promptly identifying and resolving any discrepancies or fraudulent charges.
  • Generate and present regular reports on travel spending, booking trends, policy compliance, and vendor performance for management review.
  • Assist in the development, refinement, and communication of updates to the corporate travel policy and associated procedures.
  • Maintain highly organized and accurate digital and physical records of all travel-related bookings, expenses, and communications for auditing purposes.
  • Build and foster positive working relationships with our travel vendors and designated Travel Management Company (TMC) partners.
  • Provide general administrative support to the travel department or executive team as needed, including scheduling and data entry tasks.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency with at least one Global Distribution System (GDS) such as Sabre, Amadeus, Apollo, or Worldspan.
  • Hands-on experience with major corporate online booking tools (OBTs) like SAP Concur, Egencia, or TripActions.
  • Strong command of the Microsoft Office Suite, particularly Outlook for scheduling, Excel for reporting, and Word for document creation.
  • Deep knowledge of international travel regulations, including visa requirements, customs procedures, and passport validity rules for various countries.
  • Experience with expense management systems and the end-to-end process of auditing and approving employee expense reports.
  • Comprehensive understanding of travel industry codes, procedures, and terminology for airlines, hotels, and car rentals.

Soft Skills

  • Exceptional organizational and time-management skills, with a proven ability to manage multiple complex bookings and deadlines simultaneously.
  • Meticulous attention to detail to ensure 100% accuracy in all itineraries, personal data, bookings, and financial reconciliations.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range: 2-5 years of direct experience in a travel coordination role.
