Core Responsibilities

Primary Functions

  • Manage and coordinate the entire lifecycle of domestic and international travel requests for employees, executives, and guests, from initial inquiry to post-trip follow-up.
  • Research, book, and confirm cost-effective travel arrangements, including flights, hotels, car rentals, and rail tickets, using Global Distribution Systems (GDS) and online booking tools.
  • Ensure all travel bookings adhere strictly to the established corporate travel policy, providing guidance to travelers on policy rules and obtaining necessary approvals for any exceptions.
  • Act as the primary liaison with the company's designated Travel Management Company (TMC), external travel agents, and direct suppliers to negotiate rates and resolve issues.
  • Handle complex travel itineraries, including multi-leg journeys, group travel for meetings and events, and last-minute or emergency travel changes.
  • Process and manage visa and work permit applications for international travelers, ensuring all documentation is accurate, complete, and submitted within required timelines.
  • Maintain up-to-date knowledge of international travel regulations, including visa requirements, customs rules, and entry/exit protocols for various countries.
  • Provide travelers with comprehensive pre-travel briefings and documentation, including detailed itineraries, e-tickets, hotel confirmations, and information on travel advisories.
  • Monitor and track traveler locations to support the organization's duty of care responsibilities, especially during travel disruptions or global emergencies.
  • Proactively manage travel disruptions such as flight cancellations or delays, rebooking arrangements swiftly to minimize impact on the traveler's schedule.
  • Administer the corporate credit card and expense reporting system (e.g., Concur, Expensify), ensuring timely submission and reconciliation of travel expenses.
  • Audit travel expense reports to verify compliance with travel policy, check for accuracy, and process them for reimbursement.
  • Build and maintain strong, positive relationships with preferred travel vendors, including airlines, hotel chains, and car rental agencies, to leverage benefits and negotiated rates.
  • Generate and analyze travel data reports to identify spending trends, cost-saving opportunities, and areas for policy improvement.
  • Assist in the negotiation of corporate rates and contracts with hotels, airlines, and other travel service providers to optimize the travel budget.
  • Maintain and update traveler profiles with essential information, including passport details, visa information, and loyalty program numbers.
  • Provide 24/7 on-call support for travelers experiencing emergencies or urgent issues while on business trips, demonstrating a calm and solution-oriented approach.
  • Coordinate ground transportation services, such as airport transfers, chauffeured cars, or long-term vehicle rentals, as required by the travel itinerary.
  • Support the organization of corporate meetings and conferences by managing group bookings, room blocks, and associated travel logistics.
  • Continuously review and suggest improvements to the corporate travel policy, booking processes, and vendor relationships to enhance efficiency and the traveler experience.

Secondary Functions

  • Assist the finance department with the reconciliation of travel-related invoices and central billing accounts.
  • Contribute to the development and maintenance of the corporate travel policy documentation and internal travel resource pages.
  • Support the logistics and coordination for large-scale corporate events, meetings, or employee off-sites.
  • Provide administrative support to the broader operations or administrative team as needed during periods of low travel volume.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with Global Distribution Systems (GDS) such as Sabre, Amadeus, or Galileo.
  • Expertise in using online corporate travel booking tools and platforms.
  • In-depth knowledge of international visa application procedures and passport requirements.
  • Strong working knowledge of travel expense management software (e.g., SAP Concur, Expensify).
  • Advanced proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with travel industry jargon, airline fare rules, and ticketing processes.
  • Experience in vendor management and negotiating with travel suppliers.
  • Knowledge of duty of care principles and travel risk management.
