Core Responsibilities

Primary Functions

  • Conduct in-depth consultations with clients to fully understand their travel interests, preferences, budget, and expectations for a trip.
  • Provide expert advice and personalized recommendations on destinations, accommodations, modes of transport, and local experiences.
  • Design, develop, and present highly detailed, customized travel itineraries that align with client specifications and deliver a unique experience.
  • Research and book all travel components, including flights, hotels, cruises, car rentals, tours, and activities, ensuring all logistics are seamless.
  • Expertly navigate and utilize Global Distribution Systems (GDS) like Sabre, Amadeus, or Galileo for booking and managing reservations.
  • Manage and process all necessary travel documentation for clients, including visa applications, passport information, and required travel insurance.
  • Handle all financial aspects of bookings, including preparing quotes, processing deposits and final payments, and managing supplier invoices.
  • Act as the primary point of contact for clients before, during, and after their trip, providing support and resolving any issues that may arise.
  • Proactively manage any travel disruptions, such as flight cancellations or itinerary changes, by finding prompt and effective solutions for the client.
  • Build and maintain strong, long-lasting relationships with clients to foster repeat business and encourage referrals.
  • Stay consistently informed on global travel trends, new destinations, airline and hotel policies, and international travel advisories.
  • Develop and nurture strong partnerships with suppliers, including hotels, tour operators, and destination management companies, to gain access to exclusive offers.
  • Negotiate contracts and rates with suppliers to ensure competitive pricing and added value for clients.
  • Ensure all travel arrangements are in full compliance with industry regulations, safety standards, and country-specific entry requirements.
  • Create and deliver professional and compelling travel proposals and presentations to potential clients.
  • Provide comprehensive pre-departure briefings to clients, covering everything from packing tips to cultural etiquette.
  • Meticulously review all booking confirmations and travel documents for accuracy to prevent any travel-day complications.
