Core Responsibilities
Primary Functions
- Plan, research, and book complex domestic and international travel itineraries including flights, hotels, ground transportation, rail, ferries, and multi-segment transfers while ensuring alignment with traveler preferences and corporate travel policy.
- Manage end-to-end corporate travel programs, enforce corporate travel policies, and proactively recommend policy updates to reduce costs and improve traveler compliance and safety.
- Use Global Distribution Systems (GDS) such as Amadeus, Sabre, or Galileo to issue tickets, manage reservations, apply fare rules, and process changes and refunds while maintaining accurate passenger name records (PNRs).
- Coordinate group travel logistics for conferences, incentive trips, and multi-city events including room blocks, rooming lists, contract negotiation, and on-site support planning.
- Negotiate preferential rates and contract terms with hotels, airlines, car rental companies, and other suppliers to secure value-added benefits, upgrades, and cost savings for clients and internal stakeholders.
- Serve as the primary traveler contact for pre-trip planning and in-trip support, resolving itinerary disruptions, flight cancellations, rebookings, and emergency re-routing with urgency and empathy.
- Provide visa, passport, and entry/exit requirement guidance for international travel, coordinate expedited processing when necessary, and escalate immigration or health advisory concerns to stakeholders.
- Prepare detailed itineraries and travel packets including booking confirmations, e-tickets, maps, local contacts, and travel advisories tailored to traveler preferences and duty-of-care obligations.
- Audit and reconcile travel invoices, process travel-related expense reports in Concur or similar T&E systems, ensure accurate chargebacks, and collaborate with finance for billing and accounting reconciliation.
- Deliver travel cost forecasting and monthly travel spend reports to stakeholders using Excel, Power BI, or internal reporting tools to identify cost-saving opportunities and trends.
- Implement traveler risk management and duty-of-care protocols by maintaining up-to-date travel alerts, crisis response plans, emergency contact procedures, and traveler tracking systems.
- Upsell travel upgrades, ancillary products, and travel insurance where appropriate while maintaining focus on traveler needs, budget constraints, and corporate policy.
- Liaise with HR and global mobility teams to coordinate relocations, long-term assignments, and complex multi-leg travel for employees and accompanying family members.
- Maintain accurate traveler profiles, loyalty program details, seat preferences, and frequent flyer information in the CRM or agency system to streamline future bookings and enhance personalization.
- Provide travel-related training for internal teams and new staff on booking systems, corporate policy, traveler safety, and expense submission best practices.
- Monitor and evaluate supplier performance, conduct periodic supplier audits, and maintain preferred supplier lists to ensure consistent service levels, negotiated benefits, and contingency plans.
- Manage special requests such as dietary needs, accessibility accommodations, pet travel, and medical transport arrangements, coordinating with carriers and ground providers as needed.
- Coordinate visa and medical appointment scheduling for travelers requiring vaccinations or documentation for destination entry requirements and maintain records of traveler eligibility.
- Maintain meticulous records of changes, cancellations, and refunds to optimize refund processing and minimize financial leakage from unused tickets or no-shows.
- Develop and maintain knowledge of industry trends, airline fare construction, low-cost carriers, ancillary fee structures, and loyalty program rules to provide informed recommendations.
- Act as escalation point for travel disruption incidents, liaising with suppliers, security providers, and crisis response teams to ensure traveler safety and timely resolution.
- Create and maintain standardized operating procedures and workflow documentation to ensure consistency across team members and support scale-up during peak travel periods.
- Facilitate pre-trip risk assessments for high-risk destinations and recommend alternate routing, secure accommodation choices, or specialized ground transportation based on traveler profile and assignment.
- Conduct post-trip follow-ups and traveler satisfaction surveys, analyze feedback, and implement service improvements to increase satisfaction and retention.
