Core Responsibilities

Primary Functions

  • Schedule and dispatch drivers, trucks, and equipment to appropriate locations according to customer requests, specifications, or needs, ensuring optimal fleet utilization.
  • Serve as the primary point of contact for drivers on the road, providing clear instructions, support, and guidance while addressing any issues such as breakdowns, delays, or emergencies.
  • Monitor driver and vehicle locations in real-time using GPS tracking software and telematics systems to ensure compliance with planned routes and delivery schedules.
  • Proactively communicate with customers, providing timely updates on shipment status, estimated arrival times, and any potential delays to maintain high levels of customer satisfaction.
  • Plan and optimize efficient, cost-effective routes, considering factors like traffic, weather, road closures, and DOT hours-of-service (HOS) regulations.
  • Negotiate freight rates with brokers and customers to secure profitable loads and ensure that all movements meet margin targets.
  • Meticulously maintain and update records in the Transportation Management System (TMS) with accurate information on dispatched calls, routes, driver logs, and load statuses.
  • Verify, process, and manage all necessary transportation documents, including Bills of Lading (BOL), Proof of Delivery (POD), lumper receipts, and customs paperwork.
  • Continuously monitor driver compliance with all federal, state, and local Department of Transportation (DOT) regulations, with a strong focus on Hours of Service (HOS) rules.
  • Coordinate with the maintenance department to schedule preventative maintenance, inspections, and necessary repairs to minimize downtime and keep the fleet in safe, working order.
  • Resolve transportation-related problems, such as freight discrepancies, damages, or customer complaints, in a professional and timely manner.
  • Source and book profitable loads from various load boards (e.g., DAT, Truckstop.com) and direct customer relationships to keep drivers moving and generate revenue.
  • Book and confirm pick-up and delivery appointments with shippers and receivers, ensuring drivers have all necessary information for a smooth transaction.
  • Evaluate driver performance, providing constructive feedback on efficiency, safety, and professionalism to foster continuous improvement.
  • Provide after-hours and weekend on-call support on a rotational basis to handle urgent operational issues and support the 24/7 nature of the business.

Secondary Functions

  • Assist the safety department by collecting and reviewing driver logs and incident reports to promote a strong safety culture.
  • Support the billing department by ensuring all trip-related paperwork is complete and submitted accurately for timely invoicing.
  • Collaborate with the operations team to analyze key performance indicators (KPIs) such as on-time performance, cost per mile, and deadhead miles.
  • Participate in the onboarding and training of new drivers, familiarizing them with company procedures, communication protocols, and software systems.
  • Manage fuel card administration and assist drivers with routing to preferred fuel stops to control operational costs.

Required Skills & Competencies

Hard Skills (Technical)

  • TMS Proficiency: Demonstrated experience with Transportation Management Systems (e.g., McLeod, TMW Suite, Prophesy).
  • Load Board Expertise: Advanced skills in navigating and negotiating on load boards like DAT Power, Truckstop.com, and others.
  • DOT & HOS Regulations: In-depth knowledge of Department of Transportation (DOT) rules, with a specific focus on Hours-of-Service (HOS) compliance.
  • GPS & Telematics: Proficiency in using fleet tracking and telematics software (e.g., Samsara, KeepTruckin, Omnitracs).
  • Geographical Acumen: Strong geographical knowledge of major highways, routes, and cities across the United States and Canada.
  • Microsoft Office Suite: Competency in MS Excel, Word, and Outlook for reporting, data entry, and communication.

Experience Requirements

Typical Experience Range:

  • 2-5 years of direct experience in a truck dispatching role within a transportation or logistics company.

Preferred:

  • Experience dispatching for a specific freight type (e.g., reefer, flatbed, dry van, hazmat) is highly desirable.
  • A proven track record of managing a fleet of 15+ trucks is a significant plus.
