Core Responsibilities
Primary Functions
- Strategically plan, schedule, and assign drivers, trucks, and trailers to customer freight orders to ensure optimal routing and timely service.
- Serve as the primary, 24/7 point of contact for a designated fleet of drivers, providing clear instructions, trip details, and ongoing support.
- Proactively monitor the location and status of all assigned trucks and drivers using GPS tracking and Transportation Management Systems (TMS).
- Communicate effectively with customers, providing shipment status updates, appointment scheduling, and resolving any potential service disruptions.
- Expertly manage and prioritize a high volume of inbound and outbound calls, emails, and satellite messages from drivers and stakeholders.
- Troubleshoot and resolve any en-route issues, including breakdowns, traffic delays, weather-related problems, or delivery site complications.
- Ensure all drivers maintain compliance with Department of Transportation (DOT) regulations, particularly Hours of Service (HOS) rules, to prevent violations.
- Coordinate pickup and delivery appointments with shippers and receivers, confirming details and communicating any special instructions to drivers.
- Negotiate with brokers and customers for optimal rates on backhauls and spot market freight to minimize empty miles and maximize revenue.
- Update and maintain highly accurate records within the Transportation Management System (TMS), including load statuses, driver availability, and equipment locations.
- Review and verify driver-submitted paperwork, such as Bills of Lading (BOLs), Proof of Delivery (PODs), and fuel receipts, for accuracy and completeness.
- Build and maintain strong, positive relationships with drivers, fostering a supportive environment that promotes retention and high performance.
- Efficiently source and book loads from various load boards and broker contacts when necessary to keep the fleet moving and profitable.
- Monitor driver performance against key metrics, including on-time service, fuel efficiency, and safety, providing coaching and feedback as needed.
- Collaborate with the maintenance department to schedule routine preventative maintenance and address any reported equipment defects promptly.
- Respond to and document all incidents, accidents, or service failures according to company policy, initiating the appropriate follow-up actions.
- Provide drivers with detailed route planning and guidance to ensure efficiency and adherence to company and customer requirements.
- Manage driver requests for time off and coordinate schedules to ensure adequate fleet coverage and operational continuity.
- Analyze load profitability and route efficiency to make informed decisions that contribute to the company's financial goals.
- Act as a key liaison between drivers, management, and other internal departments such as payroll, safety, and customer service.
