Core Responsibilities
Primary Functions
- Act as the primary point of contact for an assigned fleet of drivers, providing daily support, clear work assignments, and critical information to ensure their success and safety on the road.
- Skillfully coordinate and manage the daily dispatch of drivers and equipment, matching freight with available capacity to guarantee timely and efficient deliveries.
- Proactively monitor the real-time status of all in-transit shipments using GPS and TMS software, identifying and resolving potential delays before they become major issues.
- Masterfully navigate our Transportation Management System (TMS) to plan loads, optimize routes, tender shipments to carriers, and maintain impeccable data integrity.
- Build and nurture lasting, positive relationships with our network of partner carriers, ensuring we are a shipper of choice and have access to reliable capacity.
- Vigorously negotiate freight rates with carriers and brokers on both a spot and contract basis to secure competitive pricing while upholding our high standards for service.
- Ensure every shipment is fully compliant with all Department of Transportation (DOT) regulations, company safety protocols, and specific customer requirements.
- Troubleshoot and provide immediate, effective solutions for on-the-road challenges such as truck breakdowns, traffic or weather delays, and delivery appointment conflicts.
- Prepare, review, and manage all essential shipping documentation, including Bills of Lading (BOL), Proof of Delivery (PODs), and carrier confirmations, ensuring complete accuracy.
- Serve as a dedicated liaison between drivers, customers, and internal departments (like Sales and Warehousing) to facilitate smooth, transparent communication and operations.
- Diligently track and report on key performance indicators (KPIs), such as on-time performance, cost-per-mile, and carrier service levels, to drive continuous improvement.
- Meticulously schedule pickup and delivery appointments with various shippers and receivers, coordinating schedules to align with driver hours of service (HOS) and transit times.
- Source, vet, and onboard new carriers to strategically expand our transportation network and enhance service capabilities.
- Provide customers with timely, professional, and accurate status updates regarding their shipments, managing expectations and fostering strong client relationships.
- Investigate and resolve freight claims for lost or damaged goods, managing the process from initial report to final resolution in a fair and timely manner.
Secondary Functions
- Assist the accounting department by auditing freight invoices for accuracy and resolving any billing discrepancies with carriers.
- Analyze transportation and carrier performance data to identify trends, uncover inefficiencies, and recommend actionable process improvements.
- Participate in the training and mentoring of new team members, sharing knowledge of best practices, systems, and company procedures.
- Support ad-hoc projects and reporting requests from management related to logistics costs, network analysis, or operational performance.
- Maintain and update carrier compliance files, ensuring all insurance certificates, operating authorities, and safety ratings are current.

Hard Skills (Technical)
- Transportation Management Systems (TMS): Deep proficiency in using TMS platforms (e.g., MercuryGate, Oracle OTM, TMW) for load planning, execution, and tracking.
- DOT & HOS Regulations: Comprehensive understanding of Department of Transportation rules and driver Hours of Service (HOS) to ensure full compliance.
- Load Board Software: Experience with industry-standard load boards like DAT, Truckstop.com, and others for sourcing capacity and market intelligence.
- Route Planning & Optimization: Ability to use mapping and routing software (e.g., PC*MILER, Google Maps) to plan efficient and cost-effective routes.
- Microsoft Office Suite: Strong command of MS Excel for data analysis and reporting, as well as proficiency in Outlook and Word for communication.
- Freight Rate Negotiation: Proven ability to negotiate spot and contract rates effectively with a variety of carrier types.
