Core Responsibilities

Primary Functions

  • Receive, triage and log incoming new business, renewal and endorsement submissions; prioritize files for underwriter review by identifying incomplete documentation, deadlines, and high-risk exposures to ensure SLA adherence and fast turnarounds.
  • Enter, verify and update policyholder, coverage, limits, premium and endorsement data accurately within the underwriting system (e.g., Guidewire, Duck Creek, AMS360) to maintain policy integrity and financial accuracy.
  • Prepare comprehensive underwriting submission packages by assembling applications, loss runs, inspection reports, photos, binders, and supplemental forms; organize electronic folders and index documents to improve underwriter accessibility and auditability.
  • Perform initial risk screening against underwriting guidelines: flag potential declines, coverage conflicts, or unusual exposures and escalate to the assigned underwriter with a concise summary and recommended follow-up actions.
  • Request and track supplemental underwriting requirements (e.g., inspections, warranties, certificates of insurance, MVRs, credit reports); coordinate third-party vendors and internal teams to obtain results within required timeframes.
  • Calculate and prepare premium and pro-rata computations for quotes and endorsements, using rating tools and referencing rate manuals or rating engines; ensure accuracy of commission and fee application.
  • Draft and issue quotations, binders, certificates and rejection or conditional letters to agents, brokers and insureds; maintain consistent, professional correspondence that documents the underwriting decision trail.
  • Process policy changes, mid-term endorsements and cancellations in the policy administration system while ensuring compliance with regulatory and company timelines.
  • Support renewal workflow by compiling renewal packets, updating expiring policies with current loss history, and preparing transaction files for renewal underwriter review to maximize retention opportunities.
  • Maintain accurate logs of outstanding requirements, outstanding submissions, and binder expirations; proactively follow up with producers and clients to minimize outstanding exposure.
  • Conduct quality control reviews on completed transactions, identifying data-entry errors, inconsistent coverage language, or missing forms and correcting or escalating issues prior to policy issuance.
  • Reconcile underwriting system data with billing and accounting records to address premium discrepancies, endorsement adjustments, and commission variances in collaboration with finance.
  • Serve as a claims liaison for underwriting questions on active policies—provide policy documentation, endorsements history and coverage summaries to claims adjusters and outside counsel when needed.
  • Support underwriting audits and regulatory requests by pulling policy histories, file documentation and correspondence; assist in remedial actions and update file organization to meet audit findings.
  • Maintain familiarity with company underwriting manuals and coverage wordings to apply routine exceptions and confirm that transactions fall within delegated authorities.
  • Assist underwriters in portfolio monitoring by producing periodic exposure lists, concentration reports and loss trend summaries that help prioritize underwriting attention.
  • Manage inbound and outbound communications (phone, email, portal messages) with agents, brokers and insureds; document interactions in CRM or policy systems to ensure a single source of truth and consistent follow-up.
  • Participate in continuous improvement initiatives: propose process improvements, document standard operating procedures (SOPs), and participate in policy administration system enhancement testing and user acceptance.
  • Prepare and submit regulatory filings and state-specific endorsements or forms as required; ensure forms are up-to-date and applied correctly across affected policies.
  • Provide support for large account placements by coordinating documentation, binding requirements and certificate issuance under the direction of senior underwriters.
  • Maintain confidentiality of policyholder and company data and ensure all file storage meets information security and retention policies.
  • Track and report key performance indicators (KPIs) for underwriting services such as cycle time, backlog volume, error rate and service-level compliance to support management decision-making.
  • Mentor and train junior administrative staff or new hires on underwriting service processes, system navigation and quality standards to ensure team scalability and consistency.
  • Assist in special projects such as product rollouts, rating engine implementations, or system migrations by mapping current processes, conducting testing, and serving as a subject matter expert for operational impact.

Secondary Functions

  • Support ad-hoc reporting requests and extract data for underwriting analytics, retention modeling and executive summaries.
  • Participate in cross-functional meetings with sales, claims, actuarial and IT teams to clarify requirements and optimize hand-offs between underwriting and downstream teams.

  • Create and update SOPs, process maps and training guides to capture tribal knowledge and reduce single-person dependencies.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with policy administration and underwriting platforms (examples: Guidewire, Duck Creek, AMS360, Vertafore) for data entry, file assembly and policy transactions.
  • Practical experience with rating tools and premium calculations, including pro-rata computations, endorsements and mid-term adjustments.
  • Strong Excel skills (VLOOKUP, INDEX/MATCH, pivot tables, basic formulas) to prepare reconciliations, reports and data validation tasks.
  • Familiarity with document management systems, OCR technologies and electronic imaging workflows to maintain accurate underwriting files.
  • Basic knowledge of insurance industry terminology, policy forms, endorsements, cancellations and state regulatory requirements.
  • Ability to read and interpret loss runs, claims summaries and inspection reports to summarize trends for underwriter review.

  • Comfortable working with PDF editing tools (Adobe Acrobat) to prepare forms, certificates, and redline documents.

Educational Background

Minimum Education:
