An Underwriting Verification Specialist is responsible for independently validating borrower/applicant data and third-party documentation used in underwriting decisions across mortgage, consumer lending, or insurance lines. This role focuses on employment, income, asset and identity verification, credit file review, ordering and reconciling third-party reports (VOE, VVOE, VOD, title, flood, bankruptcy searches), flagging exceptions, documenting verifications in the LOS, and ensuring timely SLAs and regulatory compliance. The role supports underwriters, reduces cycle times, mitigates risk and prevents fraud through methodical review and escalation.

Core Responsibilities

Primary Functions

  • Independently review and verify borrower/applicant employment and income using third‑party verification systems (VOE, VVOE, W-2, paystubs, tax returns) and reconcile discrepancies to support accurate debt-to-income calculations and underwriting decisions.
  • Perform asset verification (bank statements, investment accounts, retirement accounts) and apply correct seasoning, reserves, and liquidation rules to determine eligible sources of funds for down payment and reserves.
  • Order, receive and analyze third‑party reports (credit reports, title searches, flood determinations, appraisals, bankruptcy and lien searches) and document findings in the loan/origination system (LOS).
  • Reconcile credit report data with disclosed liabilities and update underwriting conditions or escalate material issues such as undisclosed debt, recent public records, or derogatory trade lines.
  • Verify identity and conduct anti‑fraud and anti‑money‑laundering (AML/KYC) checks, including red-flag identification, suspicious activity reporting to the appropriate team, and working with fraud investigators when necessary.
  • Execute Desktop Underwriter (DU) and Loan Product Advisor (LPA) findings validation and support automated underwriting system results with manual documentation and confirmations as required by investor guidelines (Fannie Mae, Freddie Mac).
  • Maintain strict adherence to investor overlays, mortgage, or insurance product guidelines (FHA, VA, conventional) and company policies when documenting exceptions, compensating factors and risk mitigations.
  • Create clear, audit-ready verification packages for underwriters and quality control teams, including organized evidence bundles, comment logs, and accurate condition tracking within the LOS.
  • Communicate directly and professionally with borrowers, brokers, processors, employers, banks and third‑party vendors to obtain and clarify documentation; document all contact attempts and outcomes in the system.
  • Meet and manage SLA requirements for verification turnaround times and throughput targets; prioritize tasks to minimize underwriting delays and support on-time closings.
  • Manage vendor relationships and order workflows for verification services (VOE, VOD, asset validation, employment verification, tenant and landlord verifications); escalate vendor performance issues and track resolution.
  • Analyze complex income scenarios (self‑employed, partnerships, seasonal incomes, bonuses, overtime, commission) and apply guideline calculations, tax adjustments and stability rules to produce accurate income representations.
  • Identify and escalate suspicious documentation or conflicting information, coordinate with underwriting/fraud/compliance for deeper review, and preserve chain-of-custody and documentation for audits and investigations.
  • Update underwriting conditions and clearance statuses, ensuring all verifications are captured in the system with appropriate supporting documents and comments for underwriting sign-off.
  • Participate in underwriting file reviews and remediation efforts following internal audits or quality control findings, implement corrective actions and retrain team as needed.
  • Provide constructive feedback and pattern observations to underwriting managers about recurring documentation issues, vendor inconsistencies, or guideline ambiguities to drive process improvements.
  • Train and mentor new verification team members on LOS navigation, document standards, income/asset rules and escalation protocols to improve team accuracy and consistency.
  • Prepare and present verification findings to underwriting teams, explaining technical calculations (DTI, residual income, asset seasoning) and the rationale for clearance or outstanding exceptions.
  • Maintain up-to-date knowledge of regulatory and investor guideline changes (TRID, CFPB, state‑level regulations, Fannie/Freddie updates) and implement changes in verification workflows and checklists.
  • Support closings by confirming last-minute verifications and conditions, coordinating urgent verification requests, and ensuring final files are cleared and ready for funding.
  • Perform periodic quality control and self-audits of verified files to ensure documentation completeness, correct condition coding, and compliance with established SOPs before final underwriting decisions.
  • Document and maintain logs for all verifications, vendor orders, escalations and remediation steps to provide complete provenance for audits, investor reviews, and regulatory examinations.

Secondary Functions

  • Assist in small-scale process improvement projects, standard operating procedure updates and implementation of verification checklists and quality metrics.
  • Support ad‑hoc reporting for volume metrics, vendor SLAs, turnaround times and verification accuracy to underwriting leadership.
  • Participate in cross‑functional meetings with underwriting, closing, compliance, and sales teams to align verification priorities and reduce rework.
  • Help evaluate and pilot verification technology, such as automated verification providers, machine‑assisted income parsing, and LOS integration improvements.
  • Respond to internal and external audit requests related to verification workpapers and supply organized documentation within required timelines.
  • Provide backup support for other operations teams during peak periods, such as loan processing or closing coordination, maintaining accuracy under compressed timelines.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficient with Loan Origination Systems (LOS) and document management platforms (examples: Encompass, Calyx Point, Ellie Mae, Byte, ICE) and experience entering and tracking conditions.
  • Experience using automated underwriting systems and third‑party validation tools (Desktop Underwriter (DU), Loan Product Advisor (LPA), MISMO‑compliant services).
  • Strong credit file analysis skills: reading credit reports, identifying tradeline discrepancies, public records, and calculating credit ratios.
  • Income calculation expertise for W‑2, 1099, self‑employed tax returns (1040 Schedule C, K‑1), bonuses, overtime, commission, and rental income.
  • Asset verification and bank statement analysis, including seasoning rules, large deposit investigation and acceptable asset documentation.
  • Knowledge of investor guidelines (Fannie Mae, Freddie Mac, FHA, VA), regulatory requirements (TRID, CFPB), and fair lending and AML/KYC obligations.
  • Familiarity with verification services (VOE, VOD, VVOE, employment verification platforms) and vendor management best practices.
  • Proficient in Microsoft Excel: VLOOKUP, pivot tables, conditional formatting and basic formulas for reconciliation tasks and reporting.
  • Document organization and audit‑ready package assembly for underwriting and QC reviews.
  • Basic data entry accuracy and familiarity with ticketing or case management systems for workflow tracking.
