Core Responsibilities

Primary Functions

  • Manage end-to-end underwriting file intake: receive new submissions, validate completeness against underwriting checklists, index and attach documents in the policy administration system or loan origination system (LOS) to ensure each file meets minimum submission requirements.
  • Triage incoming submissions and prioritize cases for underwriter review using risk matrices, urgency flags, and SLA commitments to maintain target turnaround times and service levels.
  • Perform detailed document and data validation, including verifying signatures, dates, coverage limits, financial statements, credit reports, appraisals, and licensing to reduce back-and-forth and underwriting rework.
  • Reconcile application data with third-party data sources (credit bureaus, MVR, public records, vendor reports) and flag material inconsistencies or missing corroborating evidence for underwriter review.
  • Prepare concise underwriting summaries and decision support materials for underwriters including chronology of events, exception lists, and recommended follow-ups to accelerate underwriter decision-making.
  • Route exceptions and complex or high-risk submissions to appropriate underwriting authorities, documenting rationale, risk indicators, and any required approvals in the case management system.
  • Maintain and update standardized checklists, submission templates and index codes to ensure consistent file organization and rapid retrieval by underwriters and auditors.
  • Execute workflow routing rules within the platform (queue assignments, escalation paths, conditional steps) and report exceptions or misroutes to the workflow admin team for correction.
  • Coordinate with sales agents, brokers and account managers to obtain missing documents, clarify exposures, and manage client expectations regarding underwriting timelines and documentation needs.
  • Facilitate follow-up on outstanding items by generating targeted request lists and using CRM/LOS tasking features to track responses and close outstanding conditions.
  • Support underwriters during quote and bind cycles by gathering underwriting binder documents, endorsements, and policy forms and ensuring accurate data entry into the policy issuance system.
  • Conduct preliminary eligibility checks against underwriting appetite and basic risk guidelines to quickly filter out out-of-scope submissions and redirect them appropriately.
  • Monitor live dashboards and SLA reporting for queue volumes, cycle times and aged cases; surface bottlenecks and collaborate on capacity plans or short-term triage measures during peak periods.
  • Document case notes, decision outcomes and underwriting communications in the case management or policy administration system to ensure auditability and maintain a clear chain of custody for decisions.
  • Assist with internal audits and sample reviews by gathering requested files, annotations and evidence to support compliance and quality assurance activities.
  • Support delegated underwriting programs by confirming binder limits, delegated authorities and referral rules, and escalating any suspected breaches of delegated authority.
  • Manage endorsement and change requests post-bind, verifying required approvals and feeding changes through the workflow engine to update exposures, premiums and policy records accurately.
  • Use workflow automation tools, macros and RPA bots in collaboration with the automation team to reduce manual file handling, extract metadata from documents, and auto-route routine requests.
  • Provide input to underwriting guideline and playbook updates by capturing recurring exceptions, policy interpretation questions and process friction points observed during daily casework.
  • Participate in cross-functional standups with product, IT and operations teams to test new workflow configurations, identify user experience issues, and validate release criteria prior to production rollouts.
  • Train and mentor new workflow assistants by creating job aids, sample cases and interactive walkthroughs of LOS and indexing procedures to ensure consistent onboarding.
  • Liaise with Compliance and Legal teams to ensure documentation standards satisfy regulatory audits, privacy rules (e.g., GLBA, GDPR where applicable), and record retention policies.
  • Act as the primary point of contact for external vendors providing verifications, appraisals or specialty reports; track delivery, escalate delays, and validate vendor deliverables against instructions.
  • Continuously review and refine routing logic, queue thresholds and exception categories to improve first-pass completeness metrics and reduce underwriter rework.

Education & Experience

Educational Background

Minimum Education:
