Core Responsibilities

Primary Functions

  • Manage and maintain accurate personnel records, including electronic and hard-copy files, ensuring compliance with records retention policies, privacy regulations, and audit readiness.
  • Process and track personnel actions such as assignments, promotions, awards, separations, duty status changes, and leave requests, ensuring timely submission and follow-up with appropriate HR/pay systems.

  • Reconcile and process pay-related transactions and entitlements (overtime, special pay, adjustments), liaising with payroll/finance offices to resolve discrepancies and support members’ pay inquiries.
  • Coordinate appointment scheduling for medical, dental, ID card, and administrative processing, ensuring personnel meet required timelines and documenting completed actions.
  • Administer awards, decorations, certificates, and recognition packages by preparing required documentation, obtaining approvals, and maintaining award records.
  • Support onboarding and inprocessing/outprocessing procedures for new personnel, including briefing on entitlements, benefits, unit policies, and completing required administrative forms.
  • Serve as a primary point of contact for service members or staff seeking administrative assistance; provide clear guidance, escalate complex issues, and ensure a high level of customer service.
  • Prepare, proofread, and distribute official correspondence, memoranda, reports, and briefings for the unit leadership; ensure documents comply with formatting and policy standards.
  • Maintain office supply inventories and manage requisition processes for unit equipment, supplies, and small-parts procurement; coordinate with supply or logistics cells to ensure readiness.
  • Conduct periodic inventories of sensitive items and organizational equipment, documenting accountability, coordinating turn-in/turnover, and initiating requests for replacement or repair.
  • Track mandatory training, medical readiness, and certifications for unit personnel; notify leaders of upcoming expiring qualifications and assist in scheduling required training events.
  • Compile and submit periodic readiness, personnel, and administrative reports to higher headquarters or leadership, ensuring data integrity and timeliness for decision-making.
  • Execute records requests and manage records transfers, archiving, and disposal in accordance with retention schedules and privacy/FOIA guidelines.
  • Operate and maintain familiarity with core administrative systems (personnel/pay/record management and document control systems), troubleshoot basic user issues, and coordinate with IT/support desks as needed.
  • Support the planning and coordination of unit events, briefings, and command meetings, including logistics, agenda preparation, distribution of materials, and minute-taking.
  • Implement and update standard operating procedures (SOPs) for administrative processes, advising leadership on process improvements and compliance with regulatory guidance.
  • Support casualty assistance, casualty notification, or member welfare processes as required, ensuring sensitivity, confidentiality, and adherence to protocols.
  • Conduct quality assurance checks on administrative and personnel packages to ensure completeness, correct endorsements, and compliance with applicable instructions and deadlines.
  • Facilitate liaison between the unit and external offices (finance, HR, medical, ID issuance, transportation), expediting actions and fostering strong interdepartmental communication.
  • Provide training and mentorship to junior administrative staff or newly assigned clerks on processes, systems, and unit-specific administrative requirements.
  • Process and track official mail, correspondence, and classified/unclassified material according to postal and security procedures, ensuring proper distribution and accountability.
  • Assist in budget tracking and basic financial reconciliation for unit petty cash, mission funds, or administrative accounts, preparing expense summaries for leaders.
  • Respond to and resolve internal and external inquiries regarding personnel status, pay, or administrative procedures while maintaining confidentiality and adherence to policy.

Required Skills & Competencies

Hard Skills (Technical)
