Core Responsibilities
Primary Functions
- Oversee daily operations for assigned academic department(s) or administrative division(s), designing and refining workflows for course scheduling, registration, transcript processing, and faculty support to ensure timely, accurate service delivery to students and academic staff.
- Lead enrollment management activities in partnership with admissions and marketing teams, analyze application and yield data, recommend recruitment strategies, and implement retention initiatives to meet enrollment targets and yield goals.
- Manage the student lifecycle processes—admissions, registration, academic records, degree audits, transfer credit evaluation, and graduation clearance—ensuring systems and policies align with institutional requirements and FERPA regulations.
- Serve as the primary liaison between academic leadership and central administration, coordinating faculty hiring logistics, onboarding, workload assignments, committee support, and faculty governance communications.
- Develop, administer, and monitor department/division budgets including forecasting, expense approval, reconciliations, and periodic reporting; partner with finance to optimize resource allocation and identify cost-saving opportunities.
- Lead compliance and accreditation efforts for the unit—prepare documentation, coordinate self-studies, host site visits, implement accreditation recommendations, and maintain records for regional and programmatic accreditors (e.g., SACSCOC, AACSB, ABET).
- Design and implement policies, procedures, and service-level agreements for student-facing operations; draft memos, policy manuals, and training materials and lead policy change communication across stakeholders.
- Manage human resources functions for the unit including recruitment and selection, position management, performance evaluations, staff development, conflict resolution, and scheduling to maintain an effective and diverse workforce.
- Oversee financial aid coordination for program-specific scholarships and grants in collaboration with the financial aid office; support students in navigating aid, refund processes, and payment plans.
- Administer grant and contract budgets, compliance and reporting obligations—prepare budget narratives, manage expenditures, and coordinate audits with sponsored programs/office of research.
- Oversee facilities and classroom management for the unit—coordinate classroom assignments, room reservations, maintenance requests, and long-term space planning to support instructional needs and events.
- Implement and maintain academic and administrative systems including Student Information Systems (Banner, PeopleSoft, Ellucian), CRM (Slate, Salesforce), learning management integrations, and document management to improve operational efficiency.
- Produce, analyze, and present operational dashboards and institutional reports (enrollment trends, retention metrics, graduation rates, budget variance) to senior leadership and committees to support data-driven decision making.
- Coordinate program review and curriculum change processes including catalog updates, course approvals, articulation agreements, and coordination with the registrar and curriculum committees.
- Lead or support student conduct, advising escalations, crisis responses, and Title IX coordination efforts as needed, ensuring timely case management and compliance with institutional policies.
- Develop and execute staff training programs on systems, processes, compliance (FERPA, Title IX), customer service, and emergency procedures to increase operational resilience and service quality.
- Manage vendor relationships and procurement processes for software, equipment, and service contracts; prepare RFPs, evaluate bids, negotiate terms, and oversee contract implementation.
- Plan, coordinate, and execute large-scale events such as orientation, commencement, open houses, accreditation site visits, conferences, and donor cultivation activities, ensuring cross-functional collaboration and superior guest experience.
- Serve as a point of contact for external partners, articulation partners, alumni, donors, and community organizations to advance program visibility, partnerships, and fundraising objectives.
- Develop and maintain effective risk management practices for the unit including insurance coordination, incident reporting, policy adherence, and business continuity planning.
- Drive continuous improvement projects using project management best practices (Agile/Scrum or Waterfall) to streamline processes, reduce turnaround times, and enhance student and faculty satisfaction.
- Supervise collection and secure storage of institutional records, maintaining archival standards, audit trails, retention schedules, and ensuring privacy and confidentiality requirements are met.
- Mentor and develop mid-level administrators and staff, provide career coaching, succession planning, and performance development aligned with institutional goals and diversity, equity, and inclusion priorities.
