Core Responsibilities

Primary Functions

  • Lead all operational aspects of the program, including day-to-day administration, staffing, scheduling, and logistics to ensure consistently high-quality delivery and student satisfaction.
  • Supervise, mentor, and evaluate program staff (e.g., coordinators, administrative assistants, adjunct instructors), including recruitment, onboarding, professional development planning, and performance management.
  • Develop, manage, and monitor the program budget, including forecasting, expense control, procurement, contract negotiation with vendors and partners, and monthly/quarterly reconciliation.
  • Design and implement targeted recruitment strategies in collaboration with admissions and marketing teams to meet enrollment targets, diversify the student body, and build pipelines for future cohorts.
  • Create and execute retention and student success plans (early alert systems, outreach campaigns, academic coaching referrals) that demonstrably improve persistence and program graduation/completion rates.
  • Coordinate curriculum delivery with faculty and academic departments, ensuring course schedules, syllabi alignment, assessment plans, and learning outcomes meet institutional and accreditation standards.
  • Oversee program assessment and continuous improvement activities: collect and analyze student outcome data, run program-level assessments, prepare action plans, and track progress against KPIs.
  • Serve as primary liaison with internal stakeholders (faculty, registrar, financial aid, IT, facilities) to resolve operational issues, align priorities, and implement cross-functional initiatives.
  • Manage relationships with external partners (employers, internship sites, community organizations, transfer institutions) to establish practicum placements, collaborative projects, articulation agreements, and other experiential learning opportunities.
  • Ensure compliance with federal, state, and institutional regulations as well as accreditation requirements; prepare documentation and lead responses for audits and program reviews.
  • Prepare clear, accurate reporting for executive leadership, trustee committees, and external agencies—highlighting enrollment trends, student outcomes, budget performance, and improvement initiatives.
  • Lead scheduling and space management for classes, events, and special activities; work with facilities and campus scheduling to optimize classroom and lab utilization.
  • Develop, implement, and maintain program policies and standard operating procedures (SOPs) to ensure consistency, risk mitigation, and excellent customer service.
  • Oversee curriculum mapping, articulation, and transfer credit evaluation processes to facilitate student progress and inter-institutional agreements.
  • Design and coordinate orientation, onboarding, and program-wide events (open houses, graduation celebrations, employer networking events) to foster community and promote student engagement.
  • Manage program-specific technology and systems (LMS administration support, student information system entries, CRM updates) and coordinate with IT for integrations and troubleshooting.
  • Analyze student and program-level data (retention metrics, completion rates, course enrollment, demographic data) to inform strategic decisions and present findings with actionable recommendations.
  • Lead grant management and sponsored-program activities related to the program, including proposal development, budget administration, compliance tracking, and reporting to funders.
  • Respond to student and stakeholder complaints, conduct timely investigations, propose remedial actions, and ensure fair and consistent application of policies.
  • Promote diversity, equity, and inclusion by implementing culturally responsive programming, recruiting diverse staff and students, and monitoring equity-related outcomes.
  • Facilitate advisory boards or stakeholder committees, creating agendas, documenting decisions, and translating board feedback into program enhancements.
  • Coordinate risk management and safety protocols for program activities, including travel, field experiences, labs, and off-site placements.

Secondary Functions

  • Provide ad-hoc analysis and operational support to institutional initiatives such as retention task forces, enrollment management working groups, or curriculum redesign projects.
  • Act as backup contact for related programs during periods of high volume or staff absence, ensuring continuity of service and communication.
  • Support marketing and content development for program outreach (web content, social posts, recruitment materials, alumni success stories) in partnership with communications.
  • Assist in the onboarding and training of adjunct faculty and temporary staff, including orientation to institutional policies, grading standards, and student support resources.
  • Coordinate logistics and serve as institutional representative for recruitment fairs, accreditation visits, employer engagement events, and community outreach activities.

Educational Background

Minimum Education:
