  • Prepare, validate, and transform source files (images, videos, PDFs, CSV/Excel spreadsheets) for upload by converting formats, resizing images, compressing video, and ensuring files meet technical specifications and brand guidelines.
  • Create and optimize product titles, descriptions, bullet points, and SEO meta tags, including keyword-rich copy and ALT text for images to improve search discoverability and organic performance.
  • Apply standardized metadata schemas and tagging conventions in the DAM/CMS to maintain discoverability, version control, and reusable asset workflows across teams.
  • Conduct manual and automated quality assurance checks post-upload: verify image alignment, file integrity, broken links, pricing accuracy, variant mapping, and live page formatting across desktop and mobile.
  • Batch-process large CSV/Excel imports using mapping templates and tools (e.g., bulk importers, API endpoints, SFTP workflows), troubleshoot import errors, and reconcile mismatched records.
  • Coordinate with Product, Merchandising, and Creative teams to obtain missing assets, clarify attribute requirements, and ensure timely delivery of content for seasonal launches and promotions.
  • Monitor upload queues, prioritize items by launch date and business impact, and maintain transparent status tracking using project management tools like Jira, Asana, Trello, or Monday.com.
  • Maintain and update product attributes, categories, and taxonomy hierarchies in PIM/DAM systems to support accurate filtering, faceted navigation, and reporting.
  • Validate digital rights and licensing information for creative assets, escalate potential copyright or usage issues, and ensure compliance with legal and brand policies.
  • Troubleshoot CMS and upload pipeline errors: diagnose validation failures, coordinate with engineering on API issues, and implement repeatable fixes to reduce future friction.
  • Document step-by-step operational procedures, naming conventions, and metadata rules in internal knowledge bases to ensure consistent onboarding and scalable processes.
  • Implement image best practices including color profile standardization, correct DPI, cropping guidelines, and background removal when required for consistent product presentation.
  • Run cross-checks between master data sources and live site feeds to detect and correct pricing discrepancies, SKU mismatches, or missing assets before public release.
  • Optimize file storage and organization within DAMs with meaningful folder structures, consistent file naming, and version history control to improve retrieval efficiency and reduce duplication.
  • Support multi-language and localization uploads by applying translated metadata, locale-specific formatting, and language tags in CMS entries to enable international launches.
  • Collaborate with SEO, analytics, and marketing teams to ensure uploaded content supports campaign goals, tracking parameters (UTM), and conversion measurement.
  • Maintain SLAs for upload turnaround times, continuously monitor throughput, and propose process improvements to increase speed and accuracy of content ingestion.
  • Train and mentor junior upload coordinators or contractors on upload best practices, quality checks, and use of bulk tools to scale operations sustainably.
  • Perform routine audits of live catalog and asset libraries to identify outdated content, remove deprecated SKUs, and flag assets for retouching or replacement.
  • Liaise with third-party marketplaces and fulfillment platforms to ensure product data and digital assets meet partner specifications, including feeds to Amazon, eBay, Walmart, and marketplace integrations.
  • Support accessibility initiatives by validating alt text, captions, transcripts for multimedia, and other ADA-compliance attributes during the upload workflow.
  • Maintain clear communication during product and content launches with stakeholders, provide status reports, and escalate blockers proactively to meet release timelines.
  • Assist with small automation projects and scripts for repetitive tasks (e.g., bulk renaming, automated validations), collaborating with data engineering or automation teams to implement time-saving tools.
  • Track key operational metrics (upload success rate, error rate, processing time) and provide regular reports to management with recommended improvements based on data.
