The Upload Technician is the operational specialist who prepares, validates, and publishes product data and digital assets into CMS, PIM, DAM and marketplace platforms. This role focuses on bulk data ingestion, metadata enrichment, image and video processing, error resolution and quality assurance to ensure accurate online catalogues, digital storefronts and internal repositories. The Upload Technician collaborates closely with merchandising, creative, content, and IT teams to maintain taxonomy standards, meet SLA-driven publish schedules, reduce data exceptions, and continuously improve upload processes.

Core Responsibilities

Primary Functions

  • Prepare, validate and format large CSV/Excel files for bulk upload to CMS, PIM and marketplace platforms, ensuring field-level accuracy, correct delimiters, encoding and template compliance before ingestion.
  • Execute scheduled and ad-hoc uploads of product content, pricing, inventory, images and video assets using FTP/SFTP, vendor portals, platform APIs or native CMS import tools while monitoring transfer logs for errors.
  • Map supplier and third-party feed fields to internal taxonomy and data models, transform source values, and normalize attributes (size, color, material) to meet channel-specific requirements and improve discoverability.
  • Tag and enrich digital assets with accurate metadata, alt-text, keywords, categories and rights/license information to support accessibility, SEO, search relevancy and digital asset lifecycle management.
  • Perform pre-publish quality assurance on uploaded records and assets, validating image resolution, file naming, aspect ratios, SKU associations, pricing parity and descriptive content to prevent publish defects.
  • Troubleshoot and resolve upload failures and ingestion errors by analyzing system error reports, reformatting files, reconciling SKUs and coordinating fixes with suppliers, creative teams and IT.
  • Maintain and enforce upload standard operating procedures (SOPs), templates and checklists to reduce manual rework and ensure consistent data hygiene across channels.
  • Monitor content publishing pipelines, queue statuses and post-publish verifications to confirm successful propagation across web, mobile and marketplace endpoints within SLA windows.
  • Coordinate with creative and photography teams to ensure asset handoffs meet technical upload specifications (file types, naming conventions, color profiles, cropping instructions) and replace outdated images when necessary.
  • Conduct manual and automated reconciliations of product catalogs versus source systems (ERP, PIM) to identify missing SKUs, mismatched attributes, incorrect pricing or inventory discrepancies.
  • Implement bulk corrections and data mass updates using platform tools or scripts (CSV re-uploads, API-based patches) while maintaining backup snapshots and change logs for traceability.
  • Prepare and deliver upload status reports, exception logs and KPI summaries (throughput, error rate, time-to-publish) to managers and stakeholders to inform continuous improvement efforts.
  • Onboard new suppliers and vendors into upload workflows by validating their product feeds, teaching template requirements and performing initial test uploads to certify feed readiness.
  • Create and maintain mapping documentation for common supplier feed formats, transform rules and crosswalks between external and internal attribute taxonomies.
  • Maintain strict version control of digital asset libraries and product content, archiving replaced files, capturing change reasons and enforcing retention policies to support audits and legal compliance.
  • Optimize images for web performance and SEO by resizing, compressing, applying correct metadata and ensuring proper file structure to improve page load times and SERP visibility.
  • Use basic SQL queries, spreadsheet formulas (VLOOKUP, INDEX/MATCH), and text-processing tools to clean, deduplicate and validate large datasets prior to uploads.
  • Coordinate with IT and platform vendors to escalate, test and validate fixes for systemic upload issues, API errors, or integration outages affecting content ingestion pipelines.
  • Apply taxonomy governance and product classification rules to categorize SKUs correctly, supporting faceted navigation, search filters and data-driven merchandising.
  • Maintain operational readiness during peak events (promotions, seasonal launches, marketplace sell-through) by executing expedited uploads, rollback plans and post-launch validations to minimize downtime.
  • Execute digital file conversions, watermarking, and basic image/video edits when required to meet platform compliance and brand standards before publication.
  • Train and mentor junior upload staff and cross-functional colleagues on upload tools, data templates and quality standards to expand internal capacity and reduce single points of failure.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficient with bulk upload processes and tools for CMS/PIM platforms (e.g., Akeneo, Salsify, Shopify, Magento, BigCommerce) and marketplace portals (Amazon, eBay, Walmart).
  • Strong Excel and spreadsheet skills including pivot tables, VLOOKUP/INDEX-MATCH, text-to-columns, concatenation and data validation.
  • Experience preparing and validating CSV/TSV files, setting correct delimiters, character encodings (UTF-8) and header mappings.
  • Familiarity with FTP/SFTP workflows, file transfer clients and secure file handling procedures.
  • Basic working knowledge of APIs for content ingestion (REST-based endpoints), including testing with Postman or similar.
  • Competence in metadata standards, taxonomy management, alt-text authoring and SEO-driven content optimization.
  • Experience with digital asset management (DAM) systems and image/video file formats, naming conventions, and compression techniques.
  • Basic SQL querying skills to extract, reconcile and validate product or asset records from relational databases.
  • Experience with content quality assurance techniques, issue triage and incident tracking (JIRA, ServiceNow).
  • Familiarity with data transformation tools or scripting (Python, Power Query, macros) for automating repetitive upload tasks.
  • Understanding of ecommerce catalog structures, SKUs, parent/child relationships and variant management.
  • Knowledge of version control, audit logging and backup best practices for content and asset changes.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED with demonstrated experience in data/content operations or technical workflows.
