Core Responsibilities
Primary Functions
- Supervise and lead daily clinic operations, including patient intake, triage, clinical care, discharge, and follow-up, ensuring a safe, timely, and compliant patient experience in a high-volume urgent care environment.
- Create and maintain weekly staff schedules for clinical and front-office teams to meet patient demand, minimize overtime, and ensure appropriate skill mix (MA, RN, LPN, providers).

- Monitor and report key performance indicators (KPIs) such as patient wait times, length of stay, patient satisfaction scores (Press Ganey/NRC), left without being seen (LWBS), throughput, and daily visit volume.
- Manage supply chain and inventory: order medical and office supplies, maintain par levels, control expirations, and supervise controlled substance storage and reconciliation processes.
- Ensure clinic compliance with federal, state, and local regulations (HIPAA, OSHA, CMS, state nursing and medical board rules) and participate in internal and external audits.
- Coordinate with providers to optimize provider schedules, float coverage, and telehealth integration to meet patient access goals and maximize provider productivity.
- Oversee billing and coding quality control processes; collaborate with revenue cycle to resolve denied claims, documentation gaps, and ensure accurate CPT/ICD-10 capture.
- Lead infection prevention and control practices, including PPE use, environmental cleaning, exposure reporting, and adherence to public health guidance for communicable disease.
- Manage onsite point-of-care testing (POCT) operations and quality assurance; ensure QC logs, CLIA compliance, and staff competency for rapid tests and labs.
- Investigate and resolve patient complaints and incidents; implement corrective actions and communicate outcomes to patients and leadership in a timely, professional manner.
- Optimize patient flow using continuous improvement methods (Lean, PDSA), redesigning processes to decrease cycle times and improve patient throughput and experience.
- Prepare operational and clinical reports for regional leadership, including daily census, revenue, staffing variances, and clinical quality indicators.
