Core Responsibilities

Primary Functions

  • Lead and manage the used firearms desk including hiring, training, scheduling, coaching, and performance management of sales and inventory staff to meet sales and compliance goals for used guns.
  • Oversee the acquisition process for used firearms: appraise condition, verify provenance, negotiate fair buyback or trade-in offers, and document acquisition details for accurate inventory records.
  • Ensure strict compliance with federal, state and local firearms laws and regulations, including accurate completion and retention of ATF Form 4473, correct NICS background check procedures, and adherence to state transfer laws and waiting periods.
  • Maintain chain-of-custody control and secure storage procedures for all incoming, in-process, and sold used firearms, enforcing lockup, inventory segregation, and restricted-access policies.
  • Inspect every used firearm for serviceability and safety: check bore condition, functioning of actions, fit of parts, serial number legibility, and identify visible defects, modifications, or safety concerns prior to acceptance or sale.
  • Set and maintain standardized pricing and condition grading guidelines for used firearms, using competitive market analysis, manufacturer data, historical sales, and local demand to optimize margins and turnover.
  • Supervise or coordinate basic gunsmithing tasks and repairs (or refer to contracted gunsmiths): perform or schedule cleaning, headspace checks, trigger function tests, and minor repairs to bring inventory to saleable condition.
  • Manage inventory control for all used firearms including receiving, tagging, photographing, cataloging, SKU creation, cycle counts, shrinkage monitoring, and preparing for audits.
  • Prepare, review, and reconcile daily transaction logs, sales reports, buyback reports, and inventory reconciliations to ensure financial accuracy and timely reporting to store leadership.
  • Train and certify staff on safe firearms handling, range/trigger discipline for in-store demonstrations, proper demonstration protocols, and customer-facing safety counseling.
  • Execute customer-facing sales responsibilities for complex transactions: recommend appropriate used firearms, explain condition grades and service history, demonstrate operation and maintenance, and close sales while ensuring compliance.
  • Coordinate all in-store transfers, out-of-state transfers, and consignment transactions in accordance with ATF and state requirements, including proper paperwork, shipping, and receiving protocols.
  • Act as primary liaison with ATF, law enforcement, and compliance auditors during inspections or investigations; prepare required documentation and facilitate audits by providing timely, accurate records.
  • Build and implement SOPs for used firearms intake, testing, pricing, display, and disposal (including procedures for condemned, stolen, or unserviceable firearms).
  • Oversee marketing and merchandising of used firearms inventory: create compelling product listings for e-commerce and marketplace platforms, photography standards, feature descriptions, and promotional plans to increase visibility and conversion.
  • Monitor marketplace trends and competitor pricing for used firearms and ammunition; recommend buying strategy adjustments and seasonal promotions to maximize sell-through and margin.
  • Control risk by administering and enforcing loss prevention strategies specific to firearms retail, including surveillance, sign-out procedures for demos, customer ID verification, and staff accountability.
  • Review and approve buyback/consignment agreements, ensuring correct financial documents, consignor identification, title transfer (where applicable), and date-stamped records are maintained.
  • Maintain and troubleshoot point-of-sale and inventory management systems for firearms transactions, ensuring data integrity between POS, FFL logs, and online listings.
  • Handle customer issues escalations, warranty returns, and repairs for used firearms with tact and legal compliance; research past transaction records and communicate resolutions to customers and management.
  • Develop periodic training materials and conduct certification refreshers on ATF regulations, NICS updates, new state laws, and internal process changes to keep staff current and audit-ready.
  • Maintain accurate records required for insurance, recalls, and legal purposes, including documenting any incidents, thefts, or loss and coordinating required notifications and reporting.
  • Partner with purchasing and sourcing teams to identify high-value used firearms opportunities, negotiate bulk or estate purchases, and structure offers that align with store buying policies and profitability KPIs.
  • Ensure safe and compliant transportation protocols for firearms moved between stores, to gunsmiths, or to other entities—using proper packaging, manifests, and carrier approvals when shipping firearms.
  • Drive continuous improvement projects such as SLA optimization for intake-to-sale timelines, reduction in unserviceable inventory, and enhancements in used firearm appraisal accuracy.
  • Mentor junior staff for career development, cross-train team members on transfer compliance, and maintain a succession-ready team for leadership continuity.

Secondary Functions

  • Support ad-hoc reporting requests for senior leadership related to used firearms performance, buyback ROI, and compliance metrics.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required.

Preferred Education:

  • Certifications or coursework in firearms safety, NRA instructor certifications, or gunsmithing training are a plus.
