Core Responsibilities

Primary Functions

  • Design, plan and facilitate high-impact, time-boxed design sprints, co-creation workshops, and stakeholder alignment sessions (in-person and remote) to accelerate decision-making and reduce ambiguity across product teams.
  • Lead discovery workshops that capture business goals, user needs and technical constraints; synthesize outcomes into prioritized opportunity maps and actionable next steps for product roadmaps.
  • Facilitate user journey mapping and service blueprint sessions that identify pain points, moments of truth and opportunities for measurable UX improvements across multi-channel experiences.
  • Plan and execute usability testing sessions and rapid validation experiments (moderated and unmoderated), recruit participants, create test scripts, observe sessions and synthesize findings into clear recommendations.
  • Collaborate with UX researchers to translate qualitative insights into artifacts (personas, experience maps, affinity diagrams) that inform design decisions and stakeholder alignment.
  • Build and maintain workshop artifacts and libraries (user archetypes, scenarios, design principles, decision logs) to preserve institutional knowledge and speed future facilitation and design work.
  • Coach product teams and stakeholders in facilitation best practices, decision-making frameworks (RACI, DACI), and inclusive collaboration techniques to improve meeting outcomes and cross-functional alignment.
  • Run stakeholder discovery and alignment interviews to clarify assumptions, surface constraints, and create a shared problem statement that guides workshop objectives and success criteria.
  • Translate workshop outputs into prioritized product or UX backlogs in collaboration with product managers and engineers, ensuring feasibility, impact and ease of implementation are balanced.
  • Create and maintain clear facilitation plans, agendas and pre-read materials that set expectations and maximize participant engagement and preparedness.
  • Synthesize qualitative and quantitative data (user interviews, analytics, session recordings, heatmaps) into concise slide decks and one-page briefs that inform executive and product-level decisions.
  • Facilitate decision-making ceremonies to move teams from ideation to execution, capturing outcomes, owners and time-bound next steps to prevent stalled initiatives.
  • Design and facilitate accessibility and inclusivity workshops aimed at integrating WCAG guidelines, inclusive language, and assistive-technology considerations into product design.
  • Lead remote participation strategies using digital collaboration tools (Miro, Mural, FigJam, Zoom) to ensure equitable voice and participation across distributed teams.
  • Conduct stakeholder retrospectives and post-mortems for major design initiatives to capture learnings, surface process improvements and iterate on facilitation methods.
  • Prototype collaboratively during workshops (paper, click-through, or coded prototypes) to rapidly de-risk design hypotheses and gather early user feedback.
  • Measure and report on facilitation impact by defining success metrics (time-to-decision, design iteration velocity, NPS/usability improvements) and tracking outcomes against business KPIs.
  • Manage logistics for in-person workshops — space setup, supplies, participant recruitment, and documentation — to ensure sessions run smoothly and deliverables are completed.
  • Act as an internal evangelist for design thinking, service design and human-centered design methods by delivering training, lunch-and-learns and playbooks to cross-functional teams.
  • Collaborate closely with product, engineering and analytics teams to ensure that ideas generated in workshops are translated into testable experiments, A/B tests and tracked feature rollouts.
  • Maintain and improve facilitation templates, playbooks and toolkits (participant guides, consent forms, observation templates) that increase reuse and consistency across the organization.
  • Facilitate alignment between business stakeholders and design teams on value hypotheses, success metrics and acceptance criteria for experiments and feature releases.

Secondary Functions

  • Support recruitment and screener creation for research participants and workshop attendees; coordinate incentives and scheduling logistics.
  • Develop and maintain facilitation and research documentation in Confluence/Notion to ensure discoverability of past sessions, decisions and artifacts.
  • Assist in lightweight quantitative analysis (event funnels, heatmaps, session analytics) to complement qualitative workshop insights and prioritize opportunities.
  • Support UX strategy and roadmap planning by contributing workshop outputs and synthesized insights to quarterly planning activities.
  • Maintain relationships with external vendors for usability testing, recruitment platforms (UserTesting, Lookback) and specialty facilitation providers as needed.
  • Provide ad-hoc coaching to product teams on running their own micro-workshops and capturing effective observational notes.
  • Help manage the UX research ops backlog (consent templates, participant databases, tool licenses) to streamline workshop and testing operations.
  • Prepare executive summaries and board-ready slide decks that distill workshop outcomes into business risk, opportunity and recommended next steps.
  • Coordinate with marketing and customer success to validate workshop outcomes against customer sentiment and support metrics.
  • Support continuous improvement of remote facilitation techniques and tooling, piloting new approaches and documenting performance.

Required Skills & Competencies

Hard Skills (Technical)

  • Expert facilitation of design sprints, co-creation workshops, persona and journey mapping sessions; fluent with both in-person and remote formats.
  • Strong user research skills: moderating interviews, usability testing (moderated/unmoderated), synthesizing qualitative data and writing actionable research reports.
  • Proficiency with collaborative design and workshop tools: Miro, Mural, FigJam, Figma, Zoom, and Lucidspark.
  • Familiarity with prototyping tools and low-to-high fidelity prototyping workflows: Figma, Sketch, Adobe XD or Framer.

  • Experience with participant recruitment and research operations, including screener creation, consent processes and vendor coordination (e.g., UserTesting).
  • Familiarity with Agile development practices and ability to translate workshop outcomes into JIRA tickets, acceptance criteria and sprint-ready tasks.
  • Ability to design measurable success metrics and run lightweight A/B tests or experiments to validate hypotheses.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Human-Computer Interaction (HCI), Interaction Design, Psychology, Human Factors, Service Design, Communications, Anthropology, or a related field.

Preferred Education:

  • Master's degree in HCI, Human Factors, Service Design, Organizational Psychology or an MBA with product focus is a plus.
  • Certifications in facilitation, design thinking, or UX research (e.g., NN/g UX Certification, LUMA, IDEO U, Scrum) are advantageous.

  • Prior work in B2B or enterprise product environments, complex multi-stakeholder systems, or regulated industries is a strong plus.
