Core Responsibilities

Primary Functions

  • Oversee the end-to-end coordination and daily operations of vaccination clinics, including staff scheduling, patient flow management, and resource allocation.
  • Manage the entire vaccine inventory lifecycle, including precise ordering, receiving, and documentation based on utilization patterns and upcoming demand.
  • Ensure the proper storage and handling of all vaccines according to manufacturer guidelines and CDC protocols, including meticulous temperature monitoring and logging.
  • Serve as the primary scheduling contact for all immunization appointments, managing complex schedules for multiple providers and clinic locations.
  • Conduct patient outreach and communication, providing clear information about vaccine availability, appointment reminders, and necessary pre-visit instructions.
  • Accurately and promptly enter all vaccination data into the Electronic Health Record (EHR) system and the state’s Immunization Information System (IIS).
  • Verify patient insurance eligibility and benefits for immunizations, and assist with billing inquiries or provide information on assistance programs.
  • Maintain strict compliance with all federal, state, and local regulations, including HIPAA, OSHA, and specific programs like the Vaccines for Children (VFC) program.
  • Act as the subject matter expert and point of contact for clinical staff regarding vaccination protocols, documentation standards, and inventory status.
  • Generate and reconcile daily, weekly, and monthly reports on vaccine administration, inventory levels, and wastage to ensure accountability.
  • Develop and maintain educational materials and consent forms for patients, ensuring they are up-to-date with the latest public health recommendations.
  • Coordinate and execute off-site and community-based vaccination events, managing all logistics from site selection to staffing and supply transport.
  • Troubleshoot and resolve any logistical or administrative issues that arise during clinic operations in real-time to minimize disruption.
  • Train and onboard new administrative staff and clinical support personnel on vaccination workflow processes and documentation procedures.
  • Regularly audit patient charts and immunization records to ensure accuracy, completeness, and compliance with documentation standards.
