  • Prepare, reconstitute (if applicable), and draw up vaccines using aseptic technique, verifying correct vaccine, lot number, expiration date, dosage, and route before administration.
  • Administer vaccines intramuscularly, subcutaneously, or intradermally to pediatric, adolescent, adult, and geriatric patients using safe injection and sharps disposal practices, minimizing pain and anxiety during the procedure.
  • Provide clear, culturally appropriate patient education and Vaccine Information Statements (VIS) prior to vaccination, documenting that information was provided and ensuring informed consent is obtained when required.
  • Accurately document each immunization in the electronic medical record (EMR) and in immunization information systems (IIS) or registries, including vaccine type, lot number, manufacturer, site of administration, and name of administering clinician.
  • Monitor patients post-vaccination for immediate adverse reactions, perform basic clinical assessment of symptoms, and initiate emergency response protocols (including BLS/CPR) when necessary until advanced care arrives.
  • Identify, report, and document vaccine adverse events and near misses in appropriate systems (VAERS or local reporting channels), and complete required incident reporting and follow-up documentation.
  • Maintain vaccine cold chain integrity by monitoring and recording refrigerator/freezer temperatures, completing temperature logs, responding to temperature excursions per protocol, and rotating inventory to minimize waste and ensure potency.
  • Manage vaccine inventory including ordering, receiving, verifying shipments, checking lot numbers and expiration dates, storing vaccines per manufacturer guidelines, and performing regular stock audits to prevent shortages and losses.
  • Assist in clinic setup and teardown for fixed-site, pop-up, or mass vaccination events, including flow planning, signage, PPE setup, sharps containers, emergency medication availability (e.g., epinephrine), and wheelchair/accessibility accommodations.
  • Coordinate appointment scheduling and walk-in flow to optimize throughput while maintaining patient safety and privacy; reschedule patients who miss second/booster doses and provide reminders as appropriate.
  • Engage with patients and caregivers to answer vaccine-related questions, address hesitancy with evidence-based counseling, and provide follow-up instructions regarding expected side effects and when to seek medical attention.
  • Train, orient, and supervise volunteers, temporary vaccinators, or new staff on vaccine administration techniques, documentation procedures, infection control, and site-specific workflows during high-volume clinics.
  • Implement infection prevention and control practices including hand hygiene, use of appropriate PPE, environmental cleaning, and needle/syringe safety to protect patients and staff from bloodborne pathogen exposure.
  • Perform point-of-care triage to prioritize patients, escalate clinical concerns to supervising clinicians, and manage complex cases (e.g., immunocompromised, pregnant) by consulting with prescribers or public health authorities.
  • Ensure compliance with HIPAA, OSHA, state immunization laws, and facility policies in all patient interactions, documentation, storage, and reporting activities.
  • Participate in quality improvement initiatives: collect and analyze vaccination metrics (e.g., uptake rates, wastage, wait times), recommend process improvements, and implement standard operating procedures (SOPs) to improve safety and efficiency.
  • Provide age- and population-specific vaccination services (pediatric schedules, adolescent HPV/Tdap, adult boosters, influenza, COVID-19, travel vaccines) and adapt counseling and technique to developmental needs.
  • Coordinate with pharmacies, clinics, schools, employers, and public health partners to support targeted outreach, mobile clinics, and community vaccination campaigns focused on high-risk or underserved populations.
  • Perform routine maintenance of vaccine storage equipment, troubleshoot refrigeration alarms with facilities support, and document corrective actions per policy to maintain regulatory readiness for audits.
  • Maintain up-to-date knowledge of vaccine schedules, new vaccine approvals, contraindications, and public health guidance through continuing education, state modules, and internal training programs.

Secondary Functions

  • Assist with outreach and administrative tasks such as phone follow-ups, appointment reminders, patient satisfaction surveys, and referral coordination for follow-up care.
  • Participate in community education events, creating and distributing vaccine education materials and assisting public health teams with on-site demonstrations or Q&A sessions.
  • Support data entry and verification for immunization campaigns and reports used by clinic management and local health departments.
  • Help prepare monthly or quarterly immunization reports, track coverage metrics, and support grant or funding documentation related to vaccine programs.
  • Maintain and order clinic supplies (PPE, syringes, alcohol swabs, bandages) and escalate supply shortages to the clinic manager to ensure uninterrupted vaccination services.
  • Provide translation coordination or patient advocacy during vaccination visits for patients with limited English proficiency or special communication needs.
